$22.00 - $25.00 / hour (Full-Time) About Us We are a growing provider of medically necessary, in-home Applied Behavior Analysis (ABA) therapy serving families and school districts throughout Santa Cruz County. The Role We are looking for a Bilingual Patient Care Coordinator to be the "air traffic controller" of our practice. This is not a basic data-entry job. ABA scheduling is a complex, daily puzzle. You will be managing schedules for clinicians traveling to homes and schools across the county, handling same-day cancellations, and ensuring families get the care they need. You will work closely with our remote Office Manager to take ownership of our scheduling processes and keep the team running smoothly. Puzzle:
Masterfully build and maintain schedules for our RBTs and BCBAs, factoring in school bell times, clinical authorizations, and Santa Cruz County drive times. Manage the
Chaos:
Handle same-day call-outs and cancellations with grace. You will rapidly pivot schedules, notify families, and re-route clinicians without missing a beat.
Family Communication:
Serve as the primary, friendly point of contact for our families, communicating fluently in both English and Spanish regarding their therapy schedules.
System Management:
Utilize Lumary (our Salesforce-based practice management software) to track appointments, clinician availability, and client needs.
Team Collaboration:
Work hand-in-hand with our remote Office Manager to assist with general administrative tasks, onboarding support, and continuous process improvement. What We Are Looking For Bilingual Fluency (Required): Must speak, read, and write fluently in both English and Spanish.
Local Geography:
Must live in or near Santa Cruz County to understand local drive times and attend occasional in-person office meetings.
Experience:
5+ years of experience in the administrative field, preferably with a medical background. (Previous ABA scheduling experience is a massive plus).
Tech-Savvy:
Comfortable navigating complex enterprise software. Experience with Lumary, Salesforce, or similar EHR/Practice Management software is highly preferred. The "Unflappable"
