Full-Time About Us OrthoLegal is a rapidly growing, physician-owned medicolegal management company supporting over 100 orthopaedic surgeons across more than 160 offices throughout California. Our offices are used intermittently—typically 3-10 days per month—with rotating staff and physicians. We are known for our precision, professionalism, and outstanding operational support. We are seeking a highly organized, proactive Facilities Manager to oversee our statewide portfolio and ensure all locations are functional, secure, fully stocked, and ready for use at any time. Role Overview The Facilities Manager will manage a large network of low-occupancy offices across California. This role requires a systems thinker with strong logistical abilities who is comfortable juggling many sites, vendors, and moving pieces. Experience in a multi-site environment such as WeWork, Regus, hotel operations, or another distributed real estate model is highly preferred.
You will be responsible for:
Overseeing physical maintenance, cleanliness, usability, and readiness of 160+ office locations Managing access (keys, fobs, codes) and ensuring secure entry for rotating staff and physicians Coordinating build-outs, set-ups of new offices, and closures or relocations Managing office inventory (supplies, equipment, furniture) and implementing efficient replenishment systems Serving as the primary point of contact for landlords, property managers, and vendors Conducting periodic in-person checks statewide and coordinating remote inspections where necessary Ensuring ADA compliance, safety standards, and regulatory requirements Continued development of existing SOPs for office use Managing budgets associated with facilities, supplies, and maintenance Troubleshooting facilities issues quickly and effectively Ideal Candidate Profile Experience working in multi-location operations (WeWork, hotel chains, medical groups with satellite offices, retail chains, coworking spaces, facilities management companies) Exceptional organizational skills and comfort managing a high volume of small but critical tasks Hands-on, proactive approach to solving problems Strong vendor management experience Ability to travel throughout California (25-50%), especially Los Angeles and Inland Empire Strong communication skills and comfort liaising with executives, physicians, and frontline staff Experience creating processes and systems in an environment with many moving parts
Tech-savvy:
able to use inventory tools, task management systems, and digital key/access systems Qualifications 3+ years in facilities management, operations management, or property management Valid CA driver's license and reliable transportation Ability to lift and transport light equipment/supplies as needed Experience with medical office environments is a plus but not required Experience launching or managing remote sites strongly preferred Compensation & Benefits Competitive salary Health, dental, vision benefits Paid time off and holidays Growth opportunity within a rapidly scaling company How to Apply Please submit your resume and a cover letter explaining your experience managing multiple facilities or remote office locations.
