Momenta is an established, independently woman-owned physical therapy practice in Bellingham. We're entering an exciting next chapter as we prepare to expand and move into a new, larger location. We're looking for an experienced healthcare clinic operations manager who enjoys leading people, organizing priorities, improving how work gets done, and making sure important details don't fall through the cracks. Experience in physical therapy is welcome but not required. Strong healthcare, fitness, or wellness operations, insurance, patient service, and people management experience is more important. This is a meaningful, long-term leadership opportunity with a growing independent healthcare company. You'll have the chance to make a visible impact on our team, patient experience, and next stage of growth. About the Role The Clinic Manager is Momenta's primary day-to-day administrative leader. You will lead and work alongside our Patient Care Coordinators, the healthcare front-office team responsible for reception, patient communication, scheduling, insurance benefit checks, prior authorizations, and payments. You'll also coordinate closely with providers, billing, and ownership to keep clinic operations running smoothly. The position begins with hands-on front-desk training so you can understand the work, systems, and patient experience thoroughly before leading them. As training progresses, you'll assume responsibility for administrative employees, clinic operations, patient concerns, scheduling performance, insurance workflows, training, and operational follow-through. Primary Responsibilities Supervise, train, support, and hold Patient Care Coordinators and designated administrative employees accountable. Oversee reception, phones, patient communication, scheduling, waitlists, payments, and daily clinic flow. Monitor provider schedules, open capacity, cancellations, evaluation availability, and waitlist performance. Coordinate front-office schedules, time-off requests, call-outs, and coverage. Support hiring, onboarding, ongoing training, performance management, and employee reviews. Resolve patient concerns involving scheduling, insurance, balances, clinic policies, and other administrative issues. Oversee insurance benefit checks, referrals, prior authorizations, and related front-office workflows. Ensure insurance and authorization requirements are completed accurately and before patient visits. Help patients understand their benefits, authorizations, financial responsibility, and clinic policies. Coordinate front-office operations with authorization and billing staff to help prevent registration errors, delayed claims, and denials. Refine SOPs, checklists, scripts, forms, workflows, and training materials. Identify recurring operational problems and implement practical improvements. Work with ownership on operational reporting and key performance indicators. Track clinic projects, clarify ownership and deadlines, and follow work through completion. Improve communication among administrative employees, providers, billing, and leadership. Use technology, automation, and AI thoughtfully to improve efficiency and accuracy. Assist with facilities, inventory, purchasing, and technology implementation when appropriate. Help coordinate selected marketing, social media, and community initiatives without making marketing the primary focus of the position. Maintain HIPAA compliance and strict confidentiality. Qualifications Required Previous management or supervisory experience. At least two years of healthcare administration, clinic operations, medical-office, billing, scheduling, or related experience. Working knowledge of healthcare insurance benefits, patient financial responsibility, referrals, and prior authorizations. Experience setting expectations, providing feedback, and holding employees accountable. Experience with EMRs, practice-management software, insurance portals, and productivity tools. Exceptional organization, attention to detail, communication, and follow-through. Strong written and digital communication skills. Sound judgment when handling confidential, sensitive, or emotionally charged situations. Ability to prioritize, work independently, and resolve routine operational problems. Ability to remain warm, grounded, and professional while managing interruptions and competing demands. Willingness to learn and perform hands-on front-office work before assuming full operational ownership. Preferred Experience managing or coordinating operations in an outpatient healthcare setting such as physical therapy, rehabilitation, orthopedics, sports medicine, primary care, dental care, or another specialty practice. Familiarity with Medicare, commercial insurance, workers' compensation, and third-party billing. Experience with onboarding, performance reviews, timekeeping, payroll preparation, or KPI reporting. Experience improving workflows or coordinating cross-functional projects. Familiarity with Google Workspace, Microsoft Office, Jane, Asana, Claim.MD, or comparable platforms.
