Job Description

Job Title Clinical Operations & Patient Support Coordinator Position Overview The Clinical Operations & Patient Support Coordinator is a pivotal role that ensures seamless front-desk operations, surgical support, inventory management, and facility maintenance within PA Plastic Surgery Center. This position partners closely with Dr. Paul Papillion MD, nursing staff, and external vendors to deliver an exceptional patient experience and efficient clinical workflow. The ideal candidate will excel in multitasking, possess excellent communication skills, and thrive in a fast-paced medical office setting. Key Responsibilities Patient Access & Communication Book consults, surgeries, and follow-up appointments via phone, web leads, and in-office visits Greet and check in new and returning patients Surgical & Clinical Support Assist recovery nursing staff with patient intake and discharge procedures Order, receive, and track surgical supplies; update pre-op sheets Inventory & Supply Management Receive, sort, and distribute USPS, UPS, FedEx, and Medline shipments Maintain stock levels for office supplies, paper products, cleaning materials, snacks, and beverages Manage Amazon orders/reorders, office credit card purchases, and coordinate vendor orders Administrative Support Answer all incoming calls as well as keep appointment schedules current Support Dr. Papillion with ad-hoc tasks that enhance efficiency and satisfaction Cover patient care coordinator duties—such as booking surgeries—during staff absences Maintain and safeguard office passwords and confidential information Facility & Maintenance Keep patient areas, offices, and surgical suites clean and organized Monitor and replace supplies and oversee general maintenance tasks Ensure secure storage of controlled substances and injectables, following established protocols Qualifications & Skills High school diploma or equivalent; additional certification in medical office administration preferred 2+ years of experience in a medical office or clinical setting, including front-desk and surgical support. Plastic surgery practice preferred Proficiency with electronic medical records (EMR) systems and Microsoft Office Suite Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment Excellent verbal and written communication; patient-centered approach Working Conditions Full-time, on-site position Monday - Friday. Fast-paced clinical environment requiring frequent movement between front desk, office, and surgical suite. The role requires flexibility to assist with various tasks as well as regular interaction with patients, clinical staff, and external vendors.
