PEDIATRIC PRACTICE MANAGER
Lone Star Kids Care | Allen, Texas Full-Time | $72,000-$85,000 annually, depending on experience About Lone Star Kids Care Lone Star Kids Care is a physician-owned pediatric practice dedicated to providing exceptional, comprehensive, and continuous care to infants, children, and adolescents in our community. We are committed to clinical excellence while creating a welcoming, efficient, and family-centered experience for every patient. The Opportunity We are seeking an experienced, highly organized, and proactive Pediatric Practice Manager to lead the day-to-day operations of our growing medical practice. This is a hands-on leadership position for an individual who understands that excellent practice management requires more than keeping the office running. The Practice Manager will partner closely with the physician owner to ensure operational excellence, develop and lead a high-performing team, strengthen financial and revenue-cycle performance, optimize workflows, and continuously improve the patient and family experience. The ideal candidate is an accountable and resourceful leader who takes ownership, solves problems proactively, communicates effectively, and can balance the strategic needs of the practice with the details of daily operations. Key Responsibilities Practice Operations & Patient Experience Oversee daily clinical and administrative operations of the practice. Ensure efficient patient flow from scheduling and check-in through checkout and follow-up. Monitor patient access, scheduling efficiency, wait times, and patient/family satisfaction. Develop and improve office workflows to increase efficiency and support excellent patient care. Work closely with physicians and clinical staff to identify operational challenges and implement solutions. Maintain a professional, welcoming, and service-oriented practice environment. Team Leadership & Human Resources Recruit, interview, hire, onboard, train, and manage practice staff. Supervise front-office and clinical support personnel and establish clear performance expectations. Provide coaching, feedback, and performance management. Conduct staff meetings, team huddles, and annual performance evaluations. Manage employee schedules, time-off requests, benefits administration, and payroll. Foster a culture of accountability, teamwork, professionalism, and exceptional customer service. Cross-train staff to ensure appropriate coverage and operational flexibility. Revenue Cycle & Financial Management Oversee front-end revenue-cycle processes and point-of-service collections. Ensure accurate collection of copayments, deductibles, past-due balances, and other patient responsibilities. Monitor patient account discrepancies and billing questions. Coordinate with the medical billing company and provide appropriate reporting to physician owners. Perform routine administrative and financial audits, including charge and payment reconciliation. Monitor commercial payer requirements and related practice processes. Manage office expenses, bills, reimbursements, and financial documentation. Coordinate with the CPA firm and provide requested financial information. Utilize financial and operational data to identify opportunities for improved practice performance. Technology, Systems & Process Improvement Manage and optimize the practice's electronic systems and workflows. Identify opportunities to improve efficiency, accuracy, and staff productivity. Develop, maintain, and update practice policies and procedures. Monitor practice metrics and prepare management reports. Coordinate with technology and other vendors to resolve operational or system issues. Take initiative in identifying problems and implementing sustainable solutions. Clinical Support, Compliance & Office Management Coordinate medical and office supply purchasing and inventory. Oversee vaccine inventory, storage, documentation, and cold-chain procedures in accordance with practice policies and applicable requirements. Maintain compliance with HIPAA and patient privacy requirements. Coordinate facility maintenance, cleaning, and other office services. Maintain organized and accurate electronic and paper records as applicable. Support a clean, safe, organized, and professional practice environment. Perform additional duties and responsibilities as assigned by the physician owners. Must-Have Qualifications Minimum 3 years of medical practice management or medical office management experience. Demonstrated experience supervising and developing employees. Strong understanding of medical practice operations and revenue-cycle processes. Proven ability to manage multiple priorities in a fast-paced healthcare environment. Excellent written and verbal communication skills. Strong organizational, analytical, and problem-solving abilities. Demonstrated leadership skills and a strong customer-service orientation. Ability to work independently while partnering effectively with physician owners and clinical staff. High level of professionalism, accountability, discretion, and follow-through. Working knowledge of HIPAA and patient confidentiality requirements. Nice-to-Have Qualifications Office Practicum (OP) experience , particularly scheduling, reporting, billing/account management, and recall functions. Bachelor's degree in Healthcare Administration, Business, or a related field. Previous pediatric medical practice experience . Experience with QuickBooks and/or Gusto or comparable financial/payroll systems. Experience managing commercial insurance and private-pay workflows. Experience coordinating with outside billing companies and CPA firms. CPPM or CMPE certification. Compensation & Benefits Salary:
$72,000-$85,000 annually, depending on experience and qualifications.
