Under the supervision of the Immunization Program Manager and Medical Authority, and under the general direction of licensed clinical staff such as an APRN, RN, or LVN, the ImmTrac2 Outreach Coordinator is responsible for providing outreach, education, technical assistance, data entry, and follow-up related to the Texas Immunization Registry, ImmTrac2. The primary focus of this position is to educate and assist Texas Vaccines for Children (TVFC) providers and other authorized organizations in the proper use of ImmTrac2, including registry enrollment, client searches, vaccine reporting, reminder and recall activities, record maintenance, and use of registry reports. The position also conducts outreach to individuals and organizations regarding incomplete immunization records and participates in immunization clinic operations. This position requires regular interaction with healthcare providers, schools, daycare facilities, community organizations, patients, parents/guardians, and the general public. This is an essential-duty position during designated public health emergencies and local disasters. During such events, the employee may be required to perform additional duties and work additional hours to meet the needs of the community. When directed, the employee shall report to work as ordered by the Public Health District Director, County Judge/Emergency Management Coordinator, or PHEP Program Manager.

Promote the ImmTrac2 registry to adults and parents/guardians of children and educate them regarding the importance of consent and maintaining complete immunization records. Conduct outreach to individuals and organizations regarding missing or incomplete immunization records. Perform mailings and other outreach activities based on ImmTrac2 client lists and reports. Respond to telephone calls and inquiries regarding immunizations and ImmTrac2. Identify individuals with incomplete immunization histories and update vaccine records in ImmTrac2 as appropriate. Network with healthcare organizations, schools, daycare facilities, community organizations, and other authorized entities to promote effective use of the Texas immunization registry. Provide presentations and educational information regarding ImmTrac2 to providers, schools, daycare facilities, community groups, and other organizations. Identify, recruit, and train new ImmTrac2 registry users. Provide training, education, and technical assistance to newly enrolled organizations on: Searching for clients in the registry; Reporting vaccines to the registry; Conducting reminder and recall activities; Maintaining accurate client information; and Utilizing new registry features and enhancements. Conduct outreach to existing registry users who have not logged into ImmTrac2 within the previous 90 days. Conduct outreach to organizations with expired site agreements within the required timeframe. Maintain documentation of education, outreach, technical assistance, and follow-up activities. Conduct Texas Immunization Registry ImmTrac2 Support Reviews with providers. Download and review required ImmTrac2 reports, including applicable target client, provider activity, provider summary, and consent-related reports. Conduct required outreach activities focused on increasing consent rates and promoting awareness that ImmTrac2 serves individuals of all age groups. Perform accurate data entry into automated records systems. Verify and update client demographic information and immunization histories. Track outreach and educational activities for required reporting and program documentation. Attend meetings, training, conferences, and other activities as required. Perform other related duties as assigned.
CLINICAL SERVICE DELIVERY
Participate in Health District immunization clinics at designated Killeen and Temple office locations. Provide clinic services during scheduled evening and weekend clinics as needed. Accurately assess immunization records. Utilize current ACIP recommendations and applicable program guidance when performing assigned duties. Enter patient and immunization information accurately into the electronic medical record. Perform monthly reminder and recall activities. Provide services in a manner that promotes quality patient care and customer satisfaction. Assist with planning and preparing for patient visits and ensuring appropriate schedules and clinic resources are available. Room patients according to clinic needs and document chief complaint/reason for visit, vital signs, medication lists, allergies, and other required information. Keep patients informed regarding appointment delays and progress. When appropriately trained and competency validated, perform authorized procedures within the employee's scope of practice, which may include specimen collection, laboratory draws, injections, equipment cleaning/reprocessing, and other procedures. Prepare and stock examination rooms and clinic supplies. Clean and prepare rooms appropriately between patients. Schedule follow-up appointments and referrals as directed. Perform routine clerical duties, including scanning, photocopying, faxing, and documentation. Perform other clinical support duties as assigned by the Clinic/Program Manager or licensed staff.
VACCINE MANAGEMENT
May serve as the primary or backup vaccine coordinator. Ensure vaccines are managed according to applicable ACIP recommendations and program requirements. Maintain appropriate vaccine stock levels in accordance with
TVFC/ASN
program guidelines. Monitor vaccine inventory and conduct inventory counts at designated office locations. Maintain appropriate documentation related to vaccine inventory and administration. Complete required vaccine reporting through the appropriate state database. Complete vaccine loss, waste, expired-product, and related reports. Coordinate appropriate handling and shipping of vaccine products as required. Monitor vaccine wastage and expired or unaccounted-for products with the goal of maintaining program requirements.
MINIMUM QUALIFICATIONS
High School Diploma or equivalent. Valid Texas driver's license preferred. Reliable transportation. Current CPR certification, when applicable to assigned duties. Current valid Medical Assistant certification preferred. One year of experience as a Medical Assistant in a healthcare setting preferred, when applicable. Bilingual skills preferred.
KNOWLEDGE OF OR ABILITY TO QUICKLY LEARN
Applicable local, state, and federal statutes, rules, codes, regulations, and requirements governing ImmTrac2 and immunization program operations. Immunization program criteria and requirements. Records management principles and practices. Department policies, procedures, and standing delegation orders applicable to assigned duties. Universal Precautions and Bloodborne Pathogens. Basic principles of project management. Proper documentation and data-entry practices. The importance of confidentiality and accurate handling of patient and immunization information. The need to refer specific clinical situations to licensed staff for appropriate disposition.

SPECIAL REQUIREMENTS & CONSIDERATIONS
Must maintain appropriate immunizations in accordance with the BCPHD Staff Member Immunization Policy. Position may involve increased risk of exposure to vaccine-preventable diseases and/or tuberculosis. Must maintain confidentiality of patient, provider, and registry information. May be required to travel to various locations within Bell County. Must be available for occasional evening and weekend activities. May be required to work additional hours during public health emergencies and local disasters. Must be able to lift and carry clinic supplies, educational materials, and equipment up to 20lbs.
WORKING ENVIRONMENT
The employee typically works in an office and medical clinic environment within the Health District and may also perform field/outreach activities outside the office. Field activities may involve exposure to outdoor conditions, noise, biohazards, and communicable diseases. Exposure to vaccine-preventable diseases and tuberculosis is possible. The employee may interact with patients, healthcare providers, community organizations, schools, daycare facilities, and members of the public in both office and off-site settings.
