We are looking for a Patient Care Coordinator who is welcoming, organized, proactive, and passionate about creating an exceptional patient experience. This is a multi-functional role patient-facing role that combines patient care, administrative coordination, communication, follow-up, and sales and practice support. While our patient volume is intentionally lower than a typical healthcare practice, there is a significant amount of behind-the-scenes work that keeps the practice organized and running smoothly. This role requires someone who can work independently, stay organized, manage multiple ongoing priorities, and consistently get things done without needing to be reminded. What You'll Do Create a welcoming, professional experience for every patient and prospective patient. Answer phones, emails, texts, and patient questions promptly and professionally. Schedule appointments, manage calendars, cancellations, rescheduling, and follow-up. Respond to new patient inquiries and follow up with prospective patients. Clearly communicate our services, programs, and the value we provide. Maintain accurate patient information and documentation in our EHR. Manage and maintain spreadsheets, tracking systems, Google Docs, email, and other administrative tools. Track patient information, follow-ups, payments, tasks, and other practice activities. Keep administrative systems organized and up to date. Complete daily, weekly, and monthly administrative tasks consistently and on time. Manage multiple projects and priorities without losing track of details. Follow established processes and identify opportunities to make things more efficient. Communicate issues proactively and take ownership of finding solutions. Support patient engagement, retention, and practice growth. Assist with occasional practice events, workshops, and retreats.
HOURS ARE
Monday - Thursday 8:45 am - 4:45 pm with occasional work on Fridays. Additionally, the person in this role would be required to assist in off-site wellness retreats (yay!) 1-2 times/year and on-site events 2-4 times a year on a weekend day. Passionate about health, wellness, and helping people feel their best. Required Qualifications Previous Electronic Health Record (EHR) experience is required. Strong administrative and organizational skills. Proficiency with Excel and/or Google Sheets . Proficiency with Google Docs and email . Strong attention to detail and follow-through. Ability to manage spreadsheets, tracking systems, and recurring administrative responsibilities. Ability to prioritize and complete a substantial workload independently. Ability to learn new technology and systems quickly. Previous healthcare, medical office, functional medicine, wellness, or similar experience preferred. Proven experience working in a medical office or healthcare administrative support role Strong knowledge of health regulation policies and confidentiality standards such as HIPAA Familiarity with medical terminology and medical administrative processes Excellent customer service skills with the ability to communicate effectively via phone and in person Ability to type quickly and accurately to maintain detailed records efficiently Office experience demonstrating organizational skills and multitasking capabilities This Role Is a Great Fit If...
