The person at our front desk helps set the tone for the entire patient experience. We are looking for someone who is warm and welcoming, but also highly attentive to detail, comfortable multitasking, and able to stay organized in a busy environment. This is more than answering phones and checking patients in. The right person will take ownership of the front desk, anticipate what needs to be done, communicate effectively with the team, and help ensure each patient has an exceptional experience from their first interaction with us through checkout and follow-up. What You'll Be Responsible ForPatient Experience & Front Desk Welcome patients with warmth, professionalism, and confidence. Manage patient check-in and checkout efficiently and accurately. Answer incoming calls, texts, and patient inquiries professionally. Assist patients with scheduling, rescheduling, and general appointment questions. Provide clear communication regarding appointments, services, policies, and next steps. Help create a welcoming, elevated, and organized experience from the moment a patient enters the practice. Maintain patient confidentiality and professionalism at all times. Scheduling & Communication Manage a busy appointment schedule with strong attention to detail. Confirm appointments and help minimize scheduling gaps. Communicate schedule changes promptly and accurately. Coordinate with providers and other team members to maintain a smooth patient flow throughout the day. Recognize scheduling concerns early and communicate them before they become larger problems. Ensure patient messages and requests are directed to the appropriate team member and followed through to completion. Administrative Support Maintain accurate patient information and documentation. Complete assigned administrative tasks accurately and on time. Assist with patient forms, records, and other front-office needs. Maintain an organized and professional front desk and reception area. Support inventory, supplies, and other operational needs as assigned. Help the team stay organized by communicating important information and following through on assigned responsibilities. Team Support Communicate clearly and professionally with providers and team members. Be willing to step in and help when needed. Anticipate needs rather than waiting to be told every next step. Follow established processes and help maintain consistency throughout the practice. Bring concerns, patient issues, or workflow problems to the appropriate team member promptly. Contribute to a positive, collaborative, and professional team culture. What We're Looking For Previous front desk, receptionist, patient coordinator, medical office, dental office, med spa, dermatology, plastic surgery, or similar patient-facing experience is strongly preferred.
