Job Overview We are seeking a dedicated and professional Receptionist/Patient Coordinator to serve as the first point of contact for our optometric practice. The ideal candidate will possess excellent communication skills, a strong understanding of medical administrative procedures, and a commitment to providing exceptional patient service. This role involves managing patient interactions, coordinating appointments, and supporting clinical staff to ensure smooth daily operations. The successful candidate will demonstrate proficiency in electronic health record (EHR) systems, medical billing, all while maintaining confidentiality and compliance with HIPAA regulations. Duties Greet patients warmly and professionally upon arrival, ensuring a positive first impression. Schedule and confirm patient appointments. Verify insurance coverage. Collect and process payments, including medical collections and billing procedures. Answer multi-line phone systems efficiently, providing clear information and directing calls appropriately. Support clinical staff with administrative tasks such as filing, faxing, and maintaining medical records. Ensure compliance with healthcare confidentiality policies while handling sensitive patient information. Facilitate communication between patients and healthcare providers regarding care plans and follow-up appointments. Requirements Proven experience in a medical receptionist or patient coordinator role within a healthcare setting. Familiarity with EMR/EHR systems. Experience with insurance verification. Excellent customer service skills with the ability to handle sensitive situations professionally. Proficiency in Microsoft Office applications including Word and Excel for documentation review and reporting purposes. Strong organizational skills with attention to detail in managing medical records and documentation review. Ability to operate office equipment such as multi-line phones, fax machines. Knowledge of clinical confidentiality policies aligned with HIPAA regulations is mandatory.
