Responsibilities Greet patients warmly and provide exceptional front desk customer service, including answering phones with professional etiquette and managing appointment scheduling using EMR (Electronic Medical Records) systems such as Network Health, Availity, or specific payor portal. Verify patient insurance coverage, process medical collections, and handle billing inquiries with accuracy and sensitivity. Review and update patient records diligently, ensuring compliance with HIPAA and other confidentiality policies while managing electronic health records (EHR) systems like eClinicalWorks or similar platforms. Assist with intake procedures, including collecting patient information, documenting clinical histories, and preparing care plans in accordance with medical terminology standards. Support clinical staff by coordinating appointments, managing clinic schedules, and facilitating communication between patients and healthcare providers. Support referrals and medical records requests Coordinate with the clinical team to keep provider schedules and operations efficient- Participate in training and cross-training with other team members- Support operational efficiencies, process improvements, and the use of available and approved technologies Perform clerical tasks such as filing medical records, data entry using 10-key typing skills, and managing electronic health records with proficiency in Microsoft Office tools. Qualifications Proven experience in a medical office environment or healthcare setting, preferably with clinic or dental clinic experience. Strong knowledge of EMR/EHR systems including Epic, Meditech, Athenahealth, or eClinicalWorks; familiarity with electronic health records management is essential. Excellent customer service skills combined with phone etiquette and professional communication abilities. Ability to handle sensitive information in accordance with HIPAA regulations and clinical confidentiality policies. Competency in medical terminology, CPT coding, ICD coding (ICD-9/10), and health insurance processes such as Medicare billing. Bilingual skills are highly desirable to serve diverse patient populations effectively. Proficiency in Microsoft Office, Google Business applications along with strong organizational skills for filing, documentation review, and administrative support tasks. Prior clinic or hospital experience is preferred; familiarity with medical billing, care plans, and health information management will be advantageous. Demonstrated clerical experience including filing, data entry (10-key typing), and phone communication within a busy healthcare environment.
