New Horizons Vision Therapy Center is seeking a friendly, organized, and detail-oriented Patient Care Coordinator to join our vision therapy practice. The Patient Care Coordinator is an important part of the patient experience and is responsible for providing excellent customer service while supporting the administrative and clinical operations of our small office. This position combines patient scheduling and communication, insurance and administrative responsibilities, records management, and clinical support , including patient pre-testing. The ideal candidate is comfortable working with both patients and technology, has excellent attention to detail, and enjoys working in a collaborative healthcare environment.Key Responsibilities:
Patient Care & Communication Greet patients and families in a warm, professional, and welcoming manner. Serve as a primary point of contact for patients by phone, email, and in person. Schedule and coordinate patient appointments, including functional vision evaluations, follow-up visits, and vision therapy appointments. Explain office procedures, appointment expectations, and general information about vision therapy. Follow up with patients regarding appointments, forms, referrals, and other necessary information. Help create a positive and supportive patient experience from the initial phone call through completion of care. Administrative & Front Office Duties Manage the daily front-office workflow and patient schedule. Check patients in and out and maintain accurate demographic and contact information. Process payments and assist with patient account questions. Maintain accurate patient documentation and electronic records. Assist with referrals, authorizations, correspondence, and other administrative tasks. Communicate effectively with referring doctors, therapists, schools, and other professionals as needed. Reconcilliaton of daily account sheets. Maintain confidentiality and follow HIPAA and office privacy policies. Patient Pre-Testing & Clinical Support Perform routine patient pre-testing and preliminary measurements as trained. Prepare patients for comprehensive functional vision examinations. Operate and maintain basic diagnostic and pre-testing equipment. Accurately document test results in the patient's electronic medical record. Assist the doctor and vision therapists with patient flow and examination preparation. Potential for additional clinical training and responsibilities based on experience and interest. Records Management Request, receive, scan, organize, and maintain patient medical and vision records. Ensure records are complete and available prior to patient appointments. Maintain accurate electronic filing and documentation. Assist with transferring records to and from referring providers and other healthcare professionals. Monitor outstanding records, referrals, and forms and follow up as needed. Maintain organized and secure patient information in accordance with HIPAA requirements. Qualifications Previous experience in a medical, optometric, ophthalmic, dental, or other healthcare office preferred in an admistrative capacity. Experience with patient scheduling, electronic medical records, or medical office administration is required. Experience with optometric or ophthalmic pre-testing is not necessary but a plus. Strong organizational and time-management skills. Excellent verbal and written communication skills. This position requires you to communicate both verbally and via email. Professional, friendly, and compassionate demeanor. Strong attention to detail and accuracy. Comfortable learning new technology, software, and clinical equipment. Ability to multitask in a busy healthcare environment. Ability to work independently while also being an effective member of a team. Commitment to patient confidentiality and HIPAA compliance. Preferred Experience Candidates with experience as an optometric technician, ophthalmic technician, medical receptionist, patient care coordinator, optician, or medical assistant are encouraged to apply. Experience with pre-testing, optical services, electronic medical records, records management, or vision care is especially valuable. New Horizons Vision Therapy Center provides specialized functional vision care, vision therapy, developmental and behavioral vision care, and neuro-optometric rehabilitation for children and adults.
