Healthcare Billing & Bookkeeping Coordinator Location:
Port Charlotte, FL Hours:

That's what we help make possible. And it takes a whole team. We're looking for a Billing & Bookkeeping Coordinator who enjoys getting the details right, following through, and helping people. Someone who takes pride in a reconciled account and brings patience and kindness to a conversation with families. A little about us ActivAge began with a young couple and a very hands-on introduction to senior care. In 2011, our founders, Kris and Chelsea Chana, moved into the small assisted living community they owned in Port Charlotte. For three and a half years, they lived alongside their residents, sharing meals, late nights, laughter, and the everyday moments that made them family. Those years shaped everything we do today. Our adult day clubs in Port Charlotte and Sarasota, along with our home care agency serving Charlotte and Sarasota counties, grew from a belief that seniors deserve joy, purpose, and connection —and their families deserve support too. Our long-term vision is to bring that experience to 100 clubs+ and help 10 million seniors live their best lives. We're building toward that future with people who care about the work and each other. Where you come in Great care takes a strong organization behind it. Accurate billing, timely payments, and reliable financial information help us take care of our team, support our families, and keep growing. You'll help make sure those pieces are working together. When something doesn't add up, you'll investigate. When a claim needs attention, you'll follow through. When a family has a question, you'll help them understand. We're looking for someone who can be compassionate and clear, organized and curious, and comfortable taking ownership. What you'll do Manage weekly billing for two adult day clubs and our home care agency, including private pay, Medicaid plans, VA, Medicare's GUIDE program, and long-term care insurance. Track authorizations and renewal dates, working with the team to address issues before they affect billing or care. Post payments, investigate discrepancies, resolve denied claims, and follow up on outstanding balances with kindness and consistency. Maintain bookkeeping in QuickBooks Online for our family of companies, including paying approved bills, reconciling accounts, and supporting our CPA. Prepare a clear weekly snapshot of billing, collections, and items needing leadership's attention. Help improve processes so we can spend less time untangling problems and more time moving forward.

You'll feel at home here if you… Have at least 1 year of medical billing experience, ideally with Medicaid, VA, or home and community-based services. Know your way around QuickBooks Online and bank reconciliations. Are comfortable with Excel or Google Sheets and willing to learn new systems. Enjoy solving problems and seeing things through to completion. Can discuss an overdue balance with both empathy and accountability. Handle confidential information and company funds with integrity.
