$22.00 to $25.00 per hour, based on relevant experience Position Summary Advanced TMS Clinic Inc. and Pacific Health Systems LP are seeking a compassionate, dependable, and highly organized Medical Assistant to join our growing Oceanside psychiatry team. This position combines clinical medical assisting, patient coordination, insurance authorization support, lead qualification, and training as a TMS and Spravato technician. The selected Medical Assistant will be assigned to support a psychiatric provider and will assist with Medi-Cal Outpatient Authorization Requests (OARs), scheduling, patient communications, medication authorizations, and coordination of care. The ideal candidate is professional, well-spoken, comfortable communicating with patients by phone and electronically, and able to manage several responsibilities in a fast-paced psychiatric setting. Applicants with previous psychiatry, behavioral health, TMS, Spravato, prior authorization, Medi-Cal OAR, or CRM experience will receive priority consideration and may qualify for the higher end of the pay range. Primary Responsibilities Support an assigned psychiatric provider with daily clinical and administrative needs. Prepare, submit, and follow up on Medi-Cal Outpatient Authorization Requests and other insurance prior authorizations. Respond promptly to new patient leads through GoHighLevel (GHL), telephone, text, and email. Screen and qualify prospective patients based on clinic guidelines and assist with scheduling appropriate services. Coordinate psychiatric evaluations, follow-up appointments, TMS mappings, Spravato appointments, and medication management visits. Train to administer TMS treatments for patients with treatment-resistant depression and other approved conditions. Assist with Spravato treatment visits, including patient preparation, vital signs, monitoring, documentation, and treatment-room coordination. Administer long-acting injectable medications and other permitted injections under provider supervision and within the Medical Assistant scope of practice. Communicate with patients through the electronic health record, patient portal, GHL, Outlook, telephone, and text messaging. Assist with medication prior authorizations, benefit verification, treatment authorizations, medical records, forms, and other required documentation. Maintain accurate and timely patient records while ensuring charts are complete before appointments and treatments. Answer patient questions professionally and route clinical concerns to the appropriate provider. Assist with patient flow, room preparation, inventory management, and general clinic operations. Support billing and administrative teams by providing complete documentation and responding to requests for information. Participate in community outreach or clinic events as needed. Protect patient confidentiality and follow HIPAA, clinic, TMS, Spravato REMS, and safety requirements. Minimum Qualifications Medical Assistant certificate, diploma, or equivalent qualifying experience. Strong verbal and written communication skills. Professional, compassionate, and confident when speaking with patients. Ability to multitask, prioritize responsibilities, and meet deadlines. Strong attention to detail and commitment to accurate documentation. Proficiency with Microsoft Word, Excel, Outlook, and general computer systems. Willingness to learn GoHighLevel, electronic health records, authorization platforms, TMS equipment, and Spravato workflows. Willingness to communicate with and qualify new patient leads. Ability to work independently while remaining a collaborative member of the clinical team. Reliable attendance and ability to work Monday through Friday from 8:00 AM to 4:00 PM. Preferred Qualifications One to two years of Medical Assistant experience. Previous experience in psychiatry, behavioral health, neurology, or another patient-centered specialty. Experience preparing or tracking Medi-Cal OARs and insurance prior authorizations. Experience with GoHighLevel or another customer relationship management system. Previous TMS experience using NeuroStar, MagVenture, or similar equipment. Previous Spravato, ketamine, injection, or medication-monitoring experience. Experience responding to patient leads and converting inquiries into scheduled appointments. Bilingual English and Spanish communication skills. Compensation The hourly pay range is $22.00 to $25.00 , depending on experience and qualifications. Candidates with demonstrated experience in psychiatry, TMS, Spravato, Medi-Cal OARs, prior authorizations, patient lead qualification, or GoHighLevel may be considered for the upper end of the range.
