Job Summary :
We are seeking a Medical Assistant Supervisor to oversee the daily workflow of our Care Team Medical Assistants at the WCHC Gravenstein South health center in Sebastopol, CA, which encompasses the Teen Clinic and School-Based Clinics. This role serves as a key resource for the team, ensuring quality standards are consistently met and quality checks are completed. The Medical Assistant Supervisor will work closely with the Medical Assistant Operations Manager to evaluate and address clinic performance, while also hiring, training, and managing staff performance. This position is located full-time in Sebastopol, CA. M-F, 8:30am - 5:00pm, with variable hours including some evenings and weekend shifts. Travel to other sites may be required during staffing shortages.
DUTIES:
(may not include all duties assigned) Provide leadership to the Gravenstein South Care Team Medical Assistants. Participates in hiring Care Team Medical Assistants in collaboration with the Medical Assistant Operations Manager. Responsible for creating an orientation and training plan for new care team medical assistants and externs and works collaboratively with preceptors to provide training. Responsible for training Care Team Medical Assistants in collaboration with the Medical Assistant Operations Manager when new procedures are implemented, or resources are created. 1. Responsible for the scheduling of care team medical assistants, including mandated break periods. Provides oversight of Quality Assurance assignments as well as QA task delegation, quality assurance of lab equipment and medication checks for expiration. Collect, review and follow up on CTMA Quality Watch. Collaborate with the RN Supervisor and Site Medical Director on Infection Control. Maintains the MSDS binder. Effectively completes supervisor quality watch form, by reviewing all necessary reports and communicating needs based on analysis of the data presented. Effectively communicates analysis to Clinic Managers and Site Medical Director and collaboratively creates and implements action plans. Oversees staff assignments for inventory and orders from various vendors, including Quest, Pathology Services, linen supply and other supplies. Oversees waste management, including sharps containers as well as medication and medical waste disposal. Monitors the temperature logs for both the fridge and freezer and signs off weekly. Maintains familiarity with the VFC program guidelines and assures the necessary tasks are completed to meet program compliance standards Assist, as needed, to assure smooth flow in the clinic by working CTMA shifts as needed, including floor, float, evening and Saturday shifts Monitor medical assistant office procedures for accurate and timely completion of tasks, including normal result calls, chart prep, follow-up calls, lab transmission, clinical documentation standards, inventory, etc. Will participate in conversations about Quality Metrics and will have a collaborative role in tracking the success metrics. Tracking and encouraging the success of CTMA Care Gap resolution. Communicate collaboratively with the Clinic Manager and Site Medical Director regarding staff performance, clinic function and quality of care. Effectively provides direct and immediate feedback to Care Team Medical Assistant staff with the aim of promoting growth and development. Demonstrate WCHC mission and values and a commitment to providing age-appropriate care to a diverse population. Realistically splits time between sites to provide effective leadership to each team of Care Team Medical Assistants Must comply with all federal, state and local laws and regulations as well as WCHC policies.
Minimum Requirements:
Completion of M.A. training program including externship OR certification through California Certifying Board for Medical Assistants Certification preferred; supervisor position required to obtain certification within 6 months of hire date Current BLS CPR certificate Reliable transportation
Experience:
Minimum 5 years' experience as a Medical Assistant in a primary care setting or working with a health clinic preferred. 1-2 years' experience of leadership/people management preferred. Phlebotomy experience desirable. Bilingual Spanish/English desirable.
Physical Requirements:
Ability to bend and move arms with sufficient range of motion to complete patient related requirements, hearing required for patient assessments, may need to assist patients onto exam table, able to lift 30 lbs., bend, kneel and twist as needed. Prolonged standing and occasional sitting required. Must be able to perform the essential duties with or without accommodations. Basic office and equipment safety knowledge and practice.
