North Haven, CT Position Summary The Registered Medical Assistant (RMA) provides both front desk and clinical support in a pediatric healthcare setting. The RMA is responsible for delivering efficient, patient-centered care while supporting providers and maintaining accurate clinical and administrative operations. Essential Duties and Responsibilities Front Desk & Administrative Greet and check in/out patients and families in a professional and welcoming manner. Schedule, confirm, and coordinate patient appointments. Verify demographic, insurance, and patient information and update records as needed. Answer and direct telephone calls and assist families with routine questions. Complete and process school, camp, daycare, sports, physical, medication authorization, and other patient forms. Maintain accurate and timely documentation in the electronic medical record (EMR). Collect and process copayments and other patient payments as applicable. Assist with referrals, records requests, prior-authorizations and other administrative duties. Clinical Responsibilities Prepare examination rooms and patients for provider visits. Obtain and accurately document vital signs, including height, weight, temperature, pulse, respirations, blood pressure, and oxygen saturation as appropriate. Assist providers with examinations, procedures, and routine pediatric care. Administer vaccines and medications within the scope of training, certification, and applicable regulations. Perform venipuncture and other approved clinical procedures within scope of practice and demonstrated competency. Perform CLIA laboratory testing according to provider orders, manufacturer instructions, established clinical protocols, and applicable regulatory requirements. Perform point-of-care testing and specimen collection as directed. Provide patient and parent/guardian education as directed by the provider. Perform and document telephone triage according to established clinical protocols and escalate urgent or clinically concerning calls to the appropriate provider or nurse. Assist with follow-up calls, test results, referrals, and patient communications as directed. Laboratory and Quality Assurance Maintain laboratory operations, including reading and documenting test results. Perform quality assurance testing for office laboratories. Maintain accurate laboratory records and documentation. Medical Supplies & Vaccine Management Maintain accurate inventory of medical supplies, vaccines, and clinical equipment. Monitor supplies for expiration dates, rotate stock, and remove expired or compromised items promptly. Assist with ordering and restocking medical supplies based on clinic needs and established par levels. Maintain appropriate vaccine inventory and assist with vaccine storage and handling requirements. Monitor and document vaccine refrigerator/freezer temperatures according to clinic policy and regulatory requirements. Report supply shortages, expired products, equipment concerns, or temperature excursions to the appropriate supervisor immediately. Patient Safety & Quality Follow infection prevention, OSHA, HIPAA, vaccine storage/handling, and patient safety requirements. Maintain patient confidentiality and professional standards at all times. Participate in staff meetings, required training, competency assessments, and quality improvement activities. Promote a safe, welcoming, and family-centered environment for pediatric patients. Perform other clinical duties as assigned. Qualifications Current Registered Medical Assistant (RMA) certification/credential preferred or required according to organizational standards. High school diploma or equivalent; completion of an accredited medical assisting program preferred. Pediatric clinical experience preferred. Current CPR/BLS certification. Demonstrated competency in vital signs, vaccine administration, venipuncture, specimen collection, and clinical documentation. Strong clinical judgment, communication, organization, and time-management skills. Ability to work effectively in a fast-paced pediatric healthcare environment. Experience with pediatric telephone triage preferred. Knowledge of EMR systems and basic office technology. Ability to maintain confidentiality and exercise sound judgment when handling patient information and clinical concerns. Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Reasoning Ability Ability to apply commonsense understanding to carry out simple one- or two-step instructions. Ability to deal with standardized situations with only occasional or no variables. Pay:
$21.00 - $27.00 per hour Expected hours: No more than 40.0 per week
