This is a cross-trained position requiring knowledge of both front and back office responsibilities while providing exceptional patient care and customer service. As a small practice, we are looking for a team member who is flexible, self-motivated, and willing to assist wherever needed to ensure an outstanding patient experience. Responsibilities Front Office Welcome patients in a friendly and professional manner and assist with patient registration, ensuring all required documentation and insurance information are captured accurately. Answer incoming phone calls and respond to patient inquiries. Manage the appointment schedule, including scheduling new appointments, following up with no-shows and cancellations, rescheduling appointments, and coordinating follow-up visits. Verify insurance eligibility and obtain prior authorizations when applicable. Collect copays, outstanding balances, process payments, and perform cash reconciliation at the end of each shift. Update patient records within the EMR as necessary. Coordinate referrals and communicate with patients regarding appointments and required documentation. Maintain a clean, organized, and welcoming reception area and clinical rooms. Clinical Support Triage patients by obtaining vital signs, medical, surgical, medication, and social histories, and accurately document information in the EHR. Prepare exam rooms before and after patient visits. Assist providers during examinations and procedures as needed. Administer injections, perform venipuncture, and carry out other clinical duties within certification and state guidelines. Perform EKGs, wound care, specimen collection, and other assigned clinical tasks. Sterilize instruments and maintain adequate medical inventory. Qualifications Certified or Registered Medical Assistant preferred. Phlebotomy Certification Required. Experience performing venipuncture is preferred; however, we are willing to train a motivated candidate who demonstrates a willingness to learn. Minimum of 2 years of Medical Assistant experience in a physician's office or outpatient clinic preferred. Experience with EMR/EHR systems. Experience with eClinicalWorks or Aesthetic Record is a plus. Strong computer, organizational, and multitasking skills. Excellent communication and customer service skills. Previous sales or patient consultation experience is a plus. Experience in medical aesthetics, dermatology, cosmetic surgery, med spa, plastic surgery, or wellness practices is highly desirable. Bilingual (English/Spanish) preferred. Ideal Candidate Friendly, professional, and compassionate. Comfortable transitioning between front office and clinical responsibilities.
