Job Description

Job Overview We are seeking a reliable, organized, and compassionate Administrative Assistant with a Medical Assistant (CMA) certification to join our psychiatric practice. This position is primarily administrative in nature while also providing clinical support to our Ketamine and Spravato treatment program when needed. The ideal candidate is highly organized, comfortable managing multiple priorities, and able to provide exceptional patient service in a fast-paced behavioral health environment. This role requires strong communication skills, attention to detail, and the ability to support multiple providers while maintaining professionalism and confidentiality. Responsibilities Administrative Duties Answer and manage high-volume incoming calls professionally and efficiently. Return patient voicemails in a timely manner. Monitor and respond to emails as appropriate. Schedule follow-up appointments and coordinate provider schedules. Assist patients with questions, requests, and general office needs. Handle refill request Prepare and distribute patient letters and forms. Verify insurance eligibility and benefits. Submit and track prior authorizations. Upload and maintain patient documentation within the electronic medical record system. Assist with new patient intake and onboarding. Maintain accurate records and ensure HIPAA compliance. Provide daily administrative support to multiple providers. Clinical Duties Assist the Ketamine and Spravato department as needed. Monitor patients Administer Spravato treatment in accordance with provider orders, training requirements, and office protocols. Administer injections and medications as ordered by providers and within the scope of CMA certification and applicable state regulations. Monitor and document patient information during treatment visits. Maintain treatment day sheets and required documentation. Prior Authorizations/Insurance Verification Assist providers with patient flow and clinical coordination. Schedule treatment follow-ups and ongoing care appointments. Qualifications Current Certified Medical Assistant (CMA) certification required. Administrative Assistant experience preferred. Previous experience in a medical office or behavioral health setting preferred. Experience with electronic medical records (EMR/EHR) systems. Strong knowledge of insurance verification and prior authorization processes. Excellent verbal and written communication skills. Ability to multitask and manage competing priorities. Strong organizational skills and attention to detail. Ability to maintain confidentiality and professionalism when handling sensitive patient information. Experience with Spravato, Ketamine treatment programs, or psychiatric practices is preferred but not required. Schedule Full-Time 10am - 6pm Monday through
