Core Duties and ResponsibilitiesPatient Interaction Greeting Patients:

Welcoming visitors warmly in person or over the phone to create a positive first impression.

Checking In/Out:

Processing patient arrivals, confirming personal information, and guiding them to the waiting area.

Answering Phones:

Managing multi-line phone systems, taking detailed messages, and routing calls appropriately.

Handling Inquiries:

Answering routine questions about services, policies, and clinic hours.

Calendar & Scheduling Appointment Management:

Scheduling, rescheduling, and canceling patient appointments using specialized practice management software.

Optimizing Schedules:

Maximizing provider time and reducing clinic wait times through strategic scheduling.

External Bookings:

Arranging laboratory tests, diagnostic imaging, referrals, or hospital admissions.

Administration & Finance Record Keeping:

Accessing and updating electronic health records (EHR) while strictly maintaining patient confidentiality.

Insurance Verification:

Checking insurance eligibility, collecting copayments, and assisting with medical billing forms.

Key Skills and QualificationsEssential Technical Skills Computer Literacy:

Proficiency with spreadsheet programs, word processing, and email.

EHR/PMS Software:

Familiarity with modern medical database systems and scheduling tools.

Medical Terminology:

Basic understanding of healthcare procedures, terminology, and coding.

Critical Soft Skills Customer Service:

Strong interpersonal skills to ease patient anxieties and navigate stressful situations calmly.

Organization:

High level of attention to detail for managing data entry, schedules, and filing.

Compliance:

Strict adherence to data privacy laws like HIPAA to safeguard sensitive health records.

Education and Training Minimum Education:

A high school diploma or equivalent is generally required.

Experience:

Most clinics prefer 1 to 2 years of prior front desk or medical office experience.

Pay:

$25.00 - $30.00 per hour Expected hours: 40.0 per week Willingness to travel: 75% (Required)
