8am-12pm Position Overview We are seeking an EXPERIENCED, highly organized, and dependable Lead Medical Assistant to join our pediatric practice. The Lead Medical Assistant will play a key leadership role in supporting the clinical team, maintaining efficient daily operations, ensuring accurate documentation, managing vaccines and medical supplies, and holding staff accountable to the highest standards of patient care and office procedures. The ideal candidate has strong pediatric medical assistant experience , excellent organizational and communication skills, leadership ability, and the confidence to oversee and guide a team in a fast-paced pediatric environment. Key Responsibilities Lead, support, and supervise the medical assistant team to ensure smooth daily clinical operations. Provide direction, training, and ongoing support to medical assistants and clinical staff. Monitor staff performance, productivity, organization, attendance, and adherence to office policies and procedures. Conduct regular audits of charts, documentation, clinical workflows, and staff responsibilities to ensure accuracy and compliance. Identify areas where staff need additional training, coaching, or improvement and follow up to ensure expectations are met. Ensure the team is completing assigned responsibilities accurately and efficiently. Assist with maintaining a positive, professional, organized, and team-oriented work environment. Perform and oversee pediatric patient intake, vital signs, rooming, screenings, and other clinical duties as needed. Demonstrate strong knowledge and experience with pediatric vaccinations , including vaccine preparation, administration, documentation, inventory, storage, and proper handling procedures. Maintain accurate vaccine records and ensure all required vaccine documentation is completed correctly and on time. Monitor vaccine inventory, expiration dates, storage temperatures, and supply levels. Coordinate ordering of vaccines, medical supplies, office supplies, and other clinical materials. Communicate and negotiate with vendors to obtain the best available pricing, terms, and supplies while maintaining quality and appropriate inventory levels. Monitor supply usage and identify opportunities to reduce unnecessary expenses and waste. Prepare and maintain monthly reports related to vaccines, supplies, clinical activity, staff performance, inventory, and other office metrics as assigned. Ensure medical records and documentation are complete, accurate, timely, and properly maintained. Assist providers with procedures and clinical needs as necessary. Help establish and maintain efficient workflows for the medical assistant team. Ensure exam rooms and clinical areas remain clean, stocked, organized, and properly prepared. Help implement and enforce office policies, clinical protocols, and regulatory requirements. Communicate effectively with providers, management, staff, patients, and families. Address workflow problems promptly and escalate significant issues to management when appropriate. Serve as a dependable clinical leader and role model for the medical assistant team. Qualifications Previous experience as a Medical Assistant in a pediatric practice is required. Previous leadership, supervisory, or Lead Medical Assistant experience strongly preferred. Demonstrated experience working with pediatric patients and families. Strong experience with pediatric immunizations and vaccine documentation . Knowledge of vaccine storage, inventory management, and appropriate documentation procedures. Strong understanding of medical documentation and electronic medical records (EMR/EHR). Excellent organizational and time-management skills. Strong attention to detail and ability to identify documentation or workflow errors. Ability to hold team members accountable while maintaining professionalism and respect. Strong communication and interpersonal skills. Ability to prioritize multiple responsibilities in a busy pediatric office. Experience with inventory management and vendor communication preferred. Experience preparing reports or tracking office/clinical metrics preferred. Ability to work independently, take initiative, and solve problems. Leadership Expectations The Lead Medical Assistant is expected to be an active leader who sets the standard for the clinical team . This position requires someone who is comfortable taking initiative, following up with staff, identifying problems before they become larger issues, and ensuring responsibilities are completed consistently. The Lead MA should be able to coach, motivate, organize, and hold the team accountable while maintaining a professional and supportive workplace culture.
