Job Description

Overview Table Mountain Rancheria Tribal Government in Friant, California is currently recruiting for a Public Works Office Manager. Position Summary The Public Works Office Manager oversees the daily administrative operations of the Public Works Department. This position is responsible for office management, billing and accounts receivable, purchasing, recordkeeping, and providing administrative support to the Public Works Director. The ideal candidate is organized, detail-oriented, and able to manage multiple priorities while providing excellent customer service. Essential Duties and Responsibilities Manage the daily operations of the Public Works office. Prepare, process, and track billing, invoices, and payments. Maintain accurate billing records and assist with collections when needed. Process purchase orders, invoices, and payment requests. Assist with department budgeting and monitor expenditures. Coordinate service requests, work orders, and departmental scheduling. Maintain department files, contracts, permits, and other records. Prepare correspondence, reports, meeting agendas, and meeting minutes. Serve as the primary point of contact for vendors, contractors, Tribal departments, and the public. Answer phones, respond to inquiries, and provide excellent customer service. Assist with project tracking and administrative support for Public Works projects. Maintain inventory of office supplies and coordinate equipment or service needs. Perform other related duties as assigned. Minimum Qualifications High school diploma or GED required; Associate's degree in Business Administration or a related field preferred. Three (3) years of office administration or office management experience. Experience with billing, accounts receivable, bookkeeping, or financial recordkeeping preferred. Experience with Jonas Construction software preferred. Proficient in Microsoft Office (Word, Excel, Outlook). Valid California Driver's License.
