Job Overview El Portal Comprehensive Cancer Centers is seeking an experienced, highly organized, and hands-on Oncology Practice Manager to oversee the daily operations of our medical oncology practice. This is a staff leadership and operations management position requiring a strong understanding of medical office workflows, patient care processes, employee supervision, healthcare compliance, and revenue-cycle operations. The Practice Manager is expected to understand how a medical practice functions from the time a patient is referred and scheduled through registration, clinical evaluation, treatment, billing, follow-up, and ongoing care. The successful candidate must be comfortable being actively involved in day-to-day operations and should possess enough knowledge of medical workflows to train, coach, and hold staff accountable to established processes and standards. This role is responsible for ensuring employees understand not only their individual responsibilities, but also how their work affects patient care, physician productivity, clinical operations, reimbursement, and the overall performance of the practice. The Practice Manager will work closely with physicians, advanced practice providers, nursing staff, administrative employees, billing personnel, and executive leadership to maintain an efficient, professional, patient-centered oncology practice. Key ResponsibilitiesPractice Operations & Workflow Management Oversee the day-to-day operations of the oncology practice and ensure departments function efficiently and collaboratively. Maintain a comprehensive understanding of the patient workflow from referral and scheduling through consultation, treatment, follow-up, and billing. Evaluate existing workflows and identify opportunities to improve efficiency, patient experience, staff productivity, and operational performance. Establish, implement, and enforce standardized operating procedures and workflows. Monitor patient flow, appointment scheduling, provider schedules, treatment coordination, referrals, authorizations, and administrative processes. Identify operational bottlenecks and take corrective action before they negatively affect patients, providers, or staff. Ensure appropriate communication and coordination between front office, clinical staff, providers, billing, authorization personnel, and leadership. Assist leadership with implementation of new programs, services, technologies, and operational initiatives. Staff Leadership & Oversight Provide direct operational oversight and leadership to practice employees. Establish clear expectations regarding performance, professionalism, attendance, communication, teamwork, productivity, and accountability. Conduct regular staff meetings, individual coaching sessions, and performance discussions. Address employee performance concerns promptly and consistently in coordination with leadership and Human Resources. Promote a professional workplace culture focused on accountability, communication, teamwork, and exceptional patient service. Monitor staffing levels and make recommendations regarding hiring, scheduling, coverage, and workforce needs. Assist with employee recruitment, interviews, onboarding, performance evaluations, corrective actions, and professional development. Serve as an accessible operational leader for employees while maintaining appropriate management boundaries and expectations. Employee Training & Development A significant responsibility of this position is ensuring employees are properly trained and capable of performing their assigned duties independently and accurately.
The Practice Manager will:
Develop and maintain structured onboarding and training processes for new employees. Personally participate in employee training when operational or workflow knowledge is required. Ensure new employees understand the complete medical practice workflow and how their responsibilities interact with other departments. Evaluate employee competency following training and identify areas requiring additional education or coaching. Cross-train employees when appropriate to improve operational coverage and continuity. Maintain training documentation, workflow guides, policies, and standard operating procedures. Reinforce expectations regarding documentation, patient communication, scheduling, referrals, insurance authorization, billing support, EMR utilization, and clinical-office coordination. Continually identify knowledge gaps within the team and coordinate appropriate retraining. The ideal candidate should be capable of walking into any administrative area of the practice, understanding the workflow, identifying problems, and helping employees understand the correct process. Patient Experience & Care Coordination Maintain a strong focus on patient-centered service throughout the organization. Ensure patient concerns are handled professionally, promptly, and appropriately. Monitor communication standards for telephone calls, patient portal messages, scheduling, referrals, and follow-up. Assist with resolving escalated patient concerns and operational barriers to care. Work with clinical and administrative teams to improve continuity of care and reduce delays in treatment. Ensure employees demonstrate professionalism, compassion, confidentiality, and respect when interacting with oncology patients and their families. Revenue Cycle & Financial Operations Maintain a strong working understanding of healthcare reimbursement and revenue-cycle workflows. Monitor processes affecting charge capture, insurance verification, prior authorization, referrals, coding, claims submission, denials, collections, and reimbursement. Work collaboratively with billing and revenue-cycle personnel to identify workflow deficiencies that contribute to delayed or lost reimbursement. Understand the importance of accurate medical documentation, diagnosis coding, treatment authorization, and insurance requirements. Review operational performance indicators and identify opportunities for improvement. Assist leadership with departmental budgets, staffing costs, resource utilization, and operational planning. Compliance & Quality Ensure practice operations remain compliant with applicable federal and California healthcare requirements. Maintain strict compliance with HIPAA and patient confidentiality requirements. Ensure employees understand and follow organizational policies, procedures, and compliance requirements. Assist with regulatory readiness, audits, inspections, credentialing requirements, and quality initiatives. Promote accurate documentation and adherence to established clinical and administrative processes. Identify compliance concerns and promptly escalate significant issues to executive leadership. Electronic Medical Records & Technology Maintain a strong working knowledge of Electronic Medical Record systems and medical-practice technology. Ensure employees appropriately document and manage information within the EMR. Assist with workflow optimization, staff training, templates, and process improvements involving the EMR. Work with vendors and leadership when operational technology issues affect patient care or staff productivity. Required Experience & Qualifications Previous healthcare management or medical practice management experience. Demonstrated experience supervising and managing employees in a healthcare environment. Strong understanding of medical office operations and patient workflow. Ability to train employees on medical administrative processes and practice workflows. Experience managing employee performance, accountability, and workplace expectations. Working knowledge of medical terminology. Understanding of insurance verification, prior authorization, referrals, medical billing, coding, and revenue-cycle processes. Strong knowledge of HIPAA and patient confidentiality requirements. Experience working with Electronic Medical Record systems. Strong organizational, analytical, and problem-solving skills. Excellent written and verbal communication skills. Ability to manage multiple priorities in a fast-paced medical environment. Ability to identify operational problems, develop solutions, and ensure corrective actions are completed. Demonstrated professionalism, sound judgment, discretion, and leadership ability. Preferred Qualifications Previous oncology or hematology practice experience strongly preferred. Experience managing a multispecialty or high-volume medical practice. Experience with infusion, specialty medication, oncology authorization, or oncology revenue-cycle workflows. Knowledge of medical billing and
ICD-10/CPT
coding principles. Experience developing employee training programs, workflow documents, policies, or standard operating procedures. Previous experience participating in healthcare compliance, quality improvement, or regulatory activities. Bachelor's degree in Healthcare Administration, Business Administration, Healthcare Management, or a related field preferred.
