Job Description
A stable, family-owned manufacturing company in Ontario, CA is seeking an experienced Office Manager for a direct hire opportunity. This role is primarily accounting-focused and serves as the operational backbone of a small, close-knit office supporting payroll, accounting, HR administration, compliance, and daily business operations. - Manage accounting functions including Accounts Payable, Accounts Receivable, bank reconciliations, vendor payments, customer accounts, general ledger support, and QuickBooks Desktop records.
- Process weekly payroll, maintain time and attendance records, track PTO, manage wage deductions, and support payroll-related reporting.
- Administer HR functions including onboarding, employee files, benefits, 401(k) reporting, workers' compensation claims, employment verifications, and compliance documentation.
- Maintain compliance records including
OSHA 300
logs, accident reports, DOT and Non-DOT drug testing, DMV Employer Pull Notices, permits, licenses, registrations, and insurance documentation.- Prepare management reports, sales reports, budget-to-actual reporting, tax reports, customer agreements, deposits, petty cash, and daily cash management activities.
- Support daily office operations including phones, customer assistance, office supplies, filing systems, recruiting support, and general administrative coordination. Compensation and Benefits
Pay:
$30.00 to $40.00 per hour, depending on experience.Schedule:
Monday through Friday, 7:00 AM to 3:30 PM.- Work arrangement: 100% onsite in Ontario, CA.
- Job type: Direct hire. Required Qualifications and Skills
- Bachelor's degree in Accounting, Finance, Business, or a similar field of study required.
- 5+ years of Office Management experience required.
- Strong experience with Accounts Payable, Accounts Receivable, bank reconciliations, and general ledger activities.
- Advanced proficiency with QuickBooks Desktop required.
- Advanced Microsoft Excel skills, including formulas, reporting, reconciliations, and data analysis.
- Knowledge of workers' compensation, employee benefits, HR compliance, OSHA documentation, and employee recordkeeping.
- Ability to work independently, manage multiple priorities, meet deadlines, and handle confidential information with professionalism.
- Strong organizational, communication, problem-solving, follow-through, and customer service skills.
- Reliable, structured, disciplined, trustworthy, genuine, and comfortable working in a small team environment. Preferred Qualifications
- Bilingual English/Spanish skills are a plus.
- Experience in manufacturing, construction, landscaping or a similar hands-on operational environment is preferred.
- Experience supporting multiple entities or multiple bank accounts is helpful.
- Prior experience with Paychex Payroll, Payroll Link, DOT compliance, DMV Employer Pull Notices, or heavy vehicle-related filings is preferred.
