Office Manager - Multi-Location Medical Practice The Office Manager is responsible for the day-to-day administrative and operational management of a multi-location medical practice. This position ensures that all offices operate efficiently, consistently, and in accordance with practice policies, healthcare regulations, and standards of patient care. The Office Manager works closely with physicians, advanced practice providers, clinical staff, and administrative teams to support high-quality patient services and smooth practice operations. Essential Responsibilities Multi-Location Operations Oversee daily operations across multiple medical practice locations. Ensure consistent office procedures, workflows, and policies are followed at all locations. Coordinate staffing, schedules, coverage, and operational needs between offices. Conduct regular visits to each location to identify and resolve operational issues. Monitor office supplies, equipment, facility needs, and vendor services. Serve as the primary administrative contact for staff regarding operational concerns. Staff Management Recruit, train, onboard, and supervise administrative and support staff. Develop staff schedules and coordinate coverage for vacations, absences, and changing office needs. Establish performance expectations and provide ongoing coaching and feedback. Address employee concerns and workplace issues in accordance with practice policies. Promote teamwork, professionalism, accountability, and excellent patient service. Patient and Front Office Operations Oversee patient registration, scheduling, referrals, authorizations, check-in/check-out, and telephone operations. Monitor patient flow and identify opportunities to improve efficiency and patient experience. Ensure accurate patient demographic and insurance information. Assist with resolving patient complaints and concerns professionally and promptly. Ensure front-office staff provide courteous, professional, and confidential service. Compliance and Quality Ensure compliance with HIPAA, OSHA, and applicable federal and California healthcare regulations. Maintain appropriate policies and procedures for patient privacy and confidentiality. Assist with audits, credentialing, licensing, accreditation, and regulatory requirements. Ensure staff complete required training and maintain appropriate certifications. Promote a culture of patient safety, quality improvement, and regulatory compliance. Physician and Provider Support Work directly with physicians and advanced practice providers to address operational needs. Coordinate provider schedules, clinic coverage, and location-specific requirements. Support efficient workflows for providers who practice at multiple locations. Assist with implementation of new services, procedures, equipment, and practice initiatives. Administrative Responsibilities Develop and maintain office policies, procedures, and workflow standards. Prepare operational reports and provide updates to practice leadership. Coordinate meetings and communicate important practice information to staff. Manage relationships with vendors, service providers, and building management. Assist with budgeting, purchasing, and cost-control initiatives. Identify opportunities to improve efficiency, reduce expenses, and enhance patient satisfaction. Qualifications High school diploma or equivalent required; associate or bachelor's degree in healthcare administration, business administration, or a related field preferred. Minimum of 3-5 years of medical office management or healthcare administrative experience. Experience managing multiple medical office locations strongly preferred. Knowledge of medical terminology, insurance processes, scheduling, billing, and electronic medical records. Strong understanding of HIPAA and healthcare regulatory requirements. Previous supervisory or management experience required. Excellent organizational, communication, problem-solving, and leadership skills. Ability to prioritize multiple responsibilities and work effectively in a fast-paced medical environment. Proficiency with electronic medical records and standard office software. Pay:
$65,000.00 - $80,000.00 per year
