We are seeking an energetic and highly organized Office Manager with billing experience to lead our administrative operations and ensure smooth daily functions. This pivotal role combines office management, billing oversight, and team coordination to create an efficient, welcoming environment. The ideal candidate will thrive in a fast-paced setting, demonstrating exceptional communication skills, strong organizational abilities, and a proactive approach to problem-solving. Join us to help streamline processes, manage vendor relationships, and support our team's success! Responsibilities Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and leadership. Manage billing processes using QuickBooks or similar accounting software, ensuring accurate invoicing, payments, and record-keeping. Coordinate vendor relationships, including service providers, suppliers, and contractors, to maintain seamless office functions. Supervise administrative staff and provide training & development opportunities to foster a motivated team environment. Handle human resources tasks such as onboarding new employees, maintaining personnel files, and supporting payroll activities. Assist with event planning for meetings or company functions to promote team engagement and professional development. Maintain organized filing systems, manage office supplies inventory, and ensure compliance with administrative policies. Schedule pt. appointments. Requirements Proven experience in office management with a strong background in billing and bookkeeping. Familiarity with accounting software for billing and financial tracking. Demonstrated supervising experience with the ability to lead and develop administrative teams. Excellent communication skills with professional phone etiquette and customer service orientation. Strong organizational skills with the ability to manage schedules efficiently and prioritize tasks effectively. Experience in dental office management or healthcare-related administrative roles is a plus. Knowledge of vendor management, budgeting, payroll processing.
