Office Manager - Medical Practice (Rheumatology) Southern California Rheumatology | Orange County, CA | Full-Time About Us Southern California Rheumatology is a growing rheumatology practice with three providers, serving patients across Orange County. We're looking for an experienced Office Manager to lead our front and back office teams and help keep the practice running smoothly. Position Summary The Office Manager oversees daily clinic operations, supervises front and back office staff, and serves as the main point of contact between staff, providers, and practice leadership. This role is critical to patient experience, staff support, and practice efficiency. Key Responsibilities Supervise and schedule front office and medical assistant staff Oversee patient check-in/check-out, scheduling, and phone/message workflows Manage prior authorization escalations and billing/AR oversight in coordination with billing staff Serve as HR liaison for day-to-day staff issues, onboarding, and timekeeping, reporting to the CFO/HR Director Act as liaison to other partners in the office, including infusion, research, and laboratory Ensure compliance with HIPAA and other healthcare regulations Handle patient escalations and resolve operational issues in real time Order office/medical supplies and manage vendor relationships Organize and process payments Support providers with workflow, staffing coverage, and process improvements Qualifications 2-3+ years of experience in a healthcare office management or supervisory role (medical, dental, or specialty practice preferred) Experience with EHR/practice management systems (please specify your experience with eClinicalWorks or similar systems) Strong leadership, organizational, and communication skills Working knowledge of medical billing, prior authorizations, and insurance verification Ability to handle confidential information with discretion Bilingual (English/Spanish) a plus Schedule Monday-Thursday, 8:00 AM-5:00 PM; Friday, 8:00 AM-12:30
