Dental office assistant manager/insurance coordinator Duties Oversee daily clinic operations, including scheduling, patient flow, and staff coordination to ensure efficient practice management. Manage billing, coding, and claims processing using dental-specific software such as OPEN DENTAL, ensuring accuracy and timely reimbursement. Coordinate insurance verification, pre-authorizations, claims submissions, denials management, and patient billing support. Supervise administrative staff, providing training and guidance on medical records management, HIPAA compliance, and customer service standards. Maintain comprehensive dental records ensuring accuracy, confidentiality, and regulatory compliance. Monitor practice financials including budgeting, fiscal management, and revenue cycle optimization to support sustainable growth. Ensure adherence to healthcare policies such as HIPAA regulations, and state/federal healthcare laws. Lead human resources functions including hiring, performance evaluations, staff scheduling, and conflict resolution within the team. Collaborate with clinical staff to facilitate acute care procedures and manage healthcare practice workflows effectively. Implement quality assurance protocols related to medical administrative support and compliance with healthcare regulation policies. Dental office assistant manager/insurance coordinator Qualifications Proven experience managing a dental or medical office environment with strong supervisory responsibilities. Extensive knowledge of dental office management software such as
OPEN DENTAL
Strong background in fiscal management including budgeting, financial reporting, and revenue cycle management. Prior experience in insurance coordination—verification, claims processing, denials management—and understanding of managed care policies. Excellent managerial communication skills coupled with customer service expertise to foster a positive patient experience. Deep understanding of healthcare regulations such as HIPAA compliance and health regulation policies. Proficiency in Microsoft Office Suite for administrative tasks and report generation. Knowledge of medical terminology, medical billing procedures, medical records management, and acute care processes. Demonstrated ability to lead teams effectively while managing multiple priorities in a fast-paced healthcare setting. Relevant certifications or training in healthcare management or office administration are preferred; nursing or healthcare-related degrees are a plus.
