Veterinary Office Manager Paws in Paradise Animal Hospital — Inlet Beach, FL Full-Time | In-Person About the Position Paws in Paradise Animal Hospital is seeking an organized, dependable, and experienced Office Manager to oversee the day-to-day administrative and operational functions of our privately owned companion animal hospital. The Office Manager will work directly with practice ownership and our veterinary team to keep the hospital running efficiently and consistently. The Office Manager is the primary operational leader on-site and plays a critical role in ensuring the hospital runs efficiently while providing an exceptional experience for our patients, clients, and team. We are looking for someone who is comfortable taking ownership of responsibilities, solving problems independently, communicating clearly with employees and clients, and following projects through to completion. The ideal candidate will lead by example, communicate effectively, hold the team accountable, and proactively identify opportunities to improve hospital operations. Primary ResponsibilitiesTeam & Personnel Management Coordinate day-to-day activities of the hospital's client service and veterinary support teams Prepare and maintain employee schedules based on hospital staffing needs Assist with recruiting, interviewing, hiring, onboarding, and training new employees Coordinate ongoing staff training and development Help maintain a professional, consistent, and positive workplace Lead monthly staff meetings. Track weekly, monthly, and yearly staff measurables. Facilitate conflict resolution and respond to staff concerns fairly and professionally. Hospital Operations Oversee the day-to-day administrative operation of the hospital Maintain and implement hospital policies, protocols, and standard operating procedures Identify workflow problems and recommend or implement practical solutions Coordinate facility maintenance, repairs, cleaning, and other operational needs Assist with implementation of new systems, technologies, services, and hospital initiatives Maintain required administrative records and documentation Help ensure compliance with applicable workplace, safety, and veterinary regulatory requirements Inventory & Vendor Management Maintain appropriate inventory levels for medical and non-medical supplies Coordinate routine ordering and inventory control Monitor product usage and identify unnecessary waste or inventory issues Maintain relationships with vendors and service providers Compare pricing and purchasing options and communicate significant opportunities or concerns to practice ownership Coordinate equipment maintenance and service as needed Payroll, PTO & Administrative Responsibilities Prepare and process routine payroll information Maintain employee time, attendance, and PTO records Review timekeeping information for accuracy Maintain appropriate personnel documentation Communicate payroll, staffing, or personnel issues requiring ownership involvement Assist ownership with administrative reporting and information as needed Client Relations Help maintain a high standard of client service throughout the hospital Address escalated client concerns and complaints professionally Support front-desk staff in resolving scheduling, communication, and service issues Work with veterinarians and ownership when client concerns require medical or higher-level management involvement Help develop and maintain consistent client-service protocols Marketing & Hospital Events Coordinate routine hospital marketing and community-outreach activities Help maintain hospital communications and promotional materials Coordinate staff events, hospital events, community activities, and other practice functions Work with ownership on implementation of marketing initiatives and new hospital programs What We're Looking For The successful candidate should be someone who can manage the details of daily hospital operations without requiring constant direction while also recognizing when an issue needs to be brought to practice ownership.

Experience & Qualifications Preferred:
Previous supervisory, office-management, or team-lead experience Experience managing employee schedules, training, and personnel matters Experience with payroll, PTO administration, inventory, or vendor management Veterinary, medical, dental, or other healthcare-office management experience Experience in a client-facing service business Previous veterinary experience is preferred but is not necessarily required for a candidate with strong management experience and the ability to learn veterinary hospital operations. A college degree is preferred but may be substituted with relevant management and operational experience. Work Environment This is a full-time, on-site position at Paws in Paradise Animal Hospital in Inlet Beach, Florida. The position involves both administrative work and active involvement in daily hospital operations. The Office Manager will regularly interact with employees, veterinarians, clients, vendors, and animals. Candidates should be comfortable working in a veterinary hospital environment, including exposure to animals, noise, odors, cleaning products, animal waste. Regular attendance, dependability, and punctuality are essential.
Compensation & Benefits Compensation:
$55,000 - $65,000 based on experience and qualifications.

We are looking for an Office Manager who wants to become an important part of the hospital's daily operations and who takes pride in creating an organized, efficient, and professional workplace for our team, clients, and patients. The right person for this position will be given meaningful responsibility for the areas they manage and will work closely with practice ownership to continually improve how the hospital operates.
Pay:
$55,000.00 - $65,000.00 per year
