In person About One Rheumatology One Rheumatology is a rapidly growing independent specialty practice dedicated to providing compassionate, evidence-based care for patients with autoimmune and inflammatory conditions. Our services include rheumatology, infusion therapy, clinical research, weight management, and VIP patient programs. We are seeking an experienced, hands-on Office Manager to lead daily operations, strengthen financial performance, develop our team, and help build the systems and processes that support continued growth. Position Summary The Office Manager oversees all non-clinical operations of the practice, including practice administration, Human Resources, revenue cycle oversight, financial reporting, technology administration, compliance, and patient experience. This is a senior operational leadership role requiring advanced experience with: eClinicalWorks (ECW) Revenue Cycle Management (RCM) and medical billing Monthly financial reporting Microsoft 365 administration Human Resources Specialty medical practice operations The ideal candidate is proactive, highly organized, financially minded, and committed to continuous improvement. Key ResponsibilitiesPractice Operations Oversee daily front-office, back-office, and administrative operations. Manage scheduling, patient flow, referrals, messaging, and office workflows. Optimize provider and infusion scheduling capacity. Monitor key operational metrics including no-shows, productivity, patient wait times, and appointment utilization. Develop and maintain standard operating procedures (SOPs). Identify workflow improvements and implement operational efficiencies. eClinicalWorks & Technology Serve as the practice's primary eClinicalWorks administrator. Manage templates, workflows, scheduling configuration, reporting, user permissions, and troubleshooting. Train staff on ECW best practices. Administer Microsoft 365, including Outlook, Teams, SharePoint, OneDrive, licensing, user access, and onboarding/offboarding. Support technology upgrades and system integrations. Revenue Cycle Management & Billing Oversee the revenue cycle from scheduling through collections. Monitor claims, denials, aging reports, reimbursements, and accounts receivable. Identify and reduce revenue leakage. Oversee insurance verification, referrals, prior authorizations, and patient financial workflows. Work closely with billing partners to improve collections and financial performance. Monthly Financial Reporting Prepare monthly operational and financial reports for leadership, including: Revenue and collections Accounts receivable and denial trends Provider productivity Appointment utilization Infusion performance Payroll and staffing costs Practice expenses and budget variances Key performance indicators with recommendations for improvement Human Resources & Leadership Recruit, hire, onboard, and supervise administrative and clinical support staff. Manage payroll, benefits, PTO, employee documentation, and performance reviews. Coach and develop team members while fostering a positive, accountable workplace culture. Lead staff meetings and support ongoing professional development. Compliance & Specialty Operations Maintain compliance with HIPAA, OSHA, Medicare, and payer requirements. Track staff licenses, certifications, and credentialing. Support audits and regulatory documentation. Oversee infusion scheduling, authorizations, payer portals, and copay assistance workflows. Patient Experience Ensure exceptional patient service across all communication channels. Oversee phone, portal, and EHR messaging workflows. Support and maintain the One Rheumatology VIP patient program. QualificationsRequired Minimum five years of medical office management or healthcare operations experience. Experience managing a specialty medical practice. Advanced proficiency in eClinicalWorks. Strong Revenue Cycle Management and medical billing experience. Experience preparing monthly financial and operational reports. Microsoft 365 administration experience. Human Resources experience, including hiring, onboarding, payroll, benefits, and employee performance management. Knowledge of HIPAA, OSHA, Medicare, and healthcare compliance. Excellent leadership, organizational, communication, and problem-solving skills. Preferred Rheumatology or infusion-center experience. Experience with prior authorizations, payer portals, and copay assistance programs. Medical billing, coding, or practice management certification.
