Job Description

Carmel Family Dentistry is seeking an experienced and motivated Dental Office Manager to join our privately owned, established dental practice in Carmel, Indiana. For 16 years, Carmel Family Dentistry has built its reputation around exceptional patient care, teamwork, and taking care of the people who take care of our patients. Owner Dr. Jessica Worthington leads the practice, with Dr. Jessica Cohn serving as our associate dentist. We are looking for a leader who can bring proven best practices, improve systems and processes, and help our team operate at its highest level. Why This Opportunity? This is more than a front-desk position. We are looking for someone who can lead the administrative side of the practice , oversee financial and insurance processes, develop the team, and identify opportunities to make the practice more efficient. You'll have front-office support already in place for reception duties, allowing you to focus on management, leadership, financial oversight, insurance, scheduling, process improvement, and overall practice operations. We value the experience and ideas that a strong Office Manager brings to a practice and will give the right person the autonomy to implement meaningful improvements. Key Responsibilities Practice Operations Oversee daily administrative and front-office operations Manage scheduling, workflow, and office efficiency Identify opportunities to improve systems and processes Help ensure effective communication between the front office and clinical team Insurance & Financial Management Oversee insurance claims and follow-up Manage patient billing and account balances Review treatment estimates and insurance benefits Coordinate pre-authorizations and appeals Help patients understand treatment costs and financial options Monitor accounts receivable and financial performance Team Leadership Lead, mentor, and support front-office and clinical team members Help create and maintain a positive, collaborative team culture Establish accountability and effective workflows Train team members on systems, processes, and best practices Patient Experience Ensure patients receive a warm, professional experience from check-in through check-out Help resolve patient concerns with professionalism and empathy Maintain a high standard of service throughout the practice Practice Leadership Work directly with Dr. Worthington and Dr. Cohn on practice operations and performance Bring new ideas and proven best practices to the practice Help implement systems that improve efficiency, patient experience, and team performance Qualifications Previous experience in a dental office management, dental practice management, or senior dental administrative role Strong understanding of dental insurance, billing, claims, and patient accounts Excellent organizational and communication skills Demonstrated ability to lead and develop a team Strong attention to detail Ability to identify problems and implement effective solutions Professional, positive, and patient-focused approach Experience with Dentrix or another dental practice management system is preferred We are also open to an experienced dental professional who is ready to take the next step into an Office Manager role and has demonstrated leadership ability.
