Job Description
The Practice Manager oversees the day-to-day operations of a multidisciplinary healthcare clinic, ensuring an exceptional patient experience while driving operational excellence, staff engagement, and clinic performance. This role leads the front office team, partners closely with providers and senior leadership, and is accountable for achieving key operational and financial goals. Key Responsibilities Clinic Operations Lead the daily operations of the clinic to ensure efficient workflows and exceptional patient service. Optimize scheduling, patient flow, provider utilization, and staffing in collaboration with senior leadership. Identify operational challenges and implement process improvements to enhance efficiency and patient experience. Ensure the clinic is appropriately staffed and operates efficiently each day. Team Leadership Recruit, train, coach, and develop front office staff. Set clear expectations and hold team members accountable for performance. Conduct performance reviews and provide ongoing coaching and development. Foster a positive, collaborative, and patient-focused culture. Patient Experience Ensure patients receive outstanding service from their first interaction through completion of care. Address patient concerns promptly and professionally. Monitor patient satisfaction and implement initiatives to continuously improve the patient experience. Financial & Business Performance Partner with senior leadership to monitor and improve key clinic performance indicators, including patient visits, schedule utilization, cancellations, no-shows, collections, and other operational metrics. Support initiatives that drive clinic growth, operational efficiency, and profitability. Oversee daily cash reconciliation, insurance verification, and front-end revenue cycle processes while coordinating with senior leadership and the external revenue cycle management team. Manage clinic supply inventory and purchasing to ensure efficient operations. Compliance Ensure compliance with HIPAA, OSHA, payer requirements, and company policies. Maintain accurate documentation and adherence to operational standards. Support quality improvement initiatives and operational audits. Collaboration Partner with providers and senior leadership to execute clinic goals and organizational initiatives. Communicate operational challenges, staffing needs, and performance trends. Support the implementation of new systems, workflows, and best practices. Qualifications Three or more years of healthcare operations or practice management experience preferred. Previous leadership experience managing administrative teams. Strong organizational, communication, and problem-solving skills. Working knowledge of healthcare operations, insurance verification, scheduling, and regulatory compliance. Experience with EHR and practice management software. Ability to manage multiple priorities in a fast-paced environment. Success in this Role Successful Practice Managers consistently: Deliver an exceptional patient experience.
