Clinical Office Manager PrimeHealth Hendersonville | Hendersonville, NC About PrimeHealth Hendersonville PrimeHealth Hendersonville is a patient-focused medical practice committed to providing high-quality, personalized healthcare in a professional and welcoming environment. We are looking for an experienced, organized, and dependable Clinical Office Manager to help lead our day-to-day clinical and administrative operations. This is an important leadership position for someone who enjoys being hands-on, working closely with providers and staff, and creating efficient systems that support excellent patient care. Position Overview The Clinical Office Manager will oversee the daily operations of the practice, including clinical workflow, staff coordination, patient service, scheduling, laboratory processes, supplies, and administrative functions. The ideal candidate is a confident leader who can balance patient care, staff management, operational efficiency, and attention to detail . We are looking for someone who takes ownership, communicates well, identifies problems, and works proactively to find solutions. Key Responsibilities Oversee daily clinical and office operations Coordinate and supervise clinical and administrative staff Develop and maintain efficient patient and clinical workflows Support providers and clinical staff with day-to-day operational needs Manage scheduling, patient flow, and appointment coordination Monitor laboratory orders, specimen collection, processing, and results Coordinate with outside laboratories, couriers, vendors, and other service providers Maintain appropriate inventory of medical, laboratory, and office supplies Order supplies and monitor inventory levels and costs Assist with onboarding, training, and ongoing staff development Address staff concerns and promote a positive, professional work environment Monitor compliance with practice policies and applicable healthcare regulations Help maintain accurate medical and administrative documentation Assist with billing, insurance, and other administrative processes as needed Identify operational problems and implement practical solutions Monitor quality and help ensure a consistently high standard of patient service Serve as a key communication link between providers, staff, patients, and outside vendors Maintain confidentiality and protect patient information at all times Perform other duties necessary to support the successful operation of the practice What We're Looking For Previous experience managing a medical office, clinic, or healthcare team Strong understanding of clinical office operations Excellent organizational and time-management skills Strong communication and interpersonal skills Ability to lead, motivate, and hold staff accountable Excellent attention to detail Ability to prioritize and manage multiple responsibilities Strong problem-solving and critical-thinking skills Professional, compassionate approach to patients and staff Comfortable working in a hands-on role Proficiency with electronic medical records and common office technology Knowledge of HIPAA and healthcare compliance requirements Preferred Qualifications 3+ years of experience in medical office or clinical management Experience supervising clinical staff Experience working with laboratory services and outside vendors Experience with EMR systems Medical Assistant, LPN, RN, or other clinical background is a plus Experience in a primary care, internal medicine, concierge medicine, or specialty practice is preferred The Ideal Candidate We are looking for someone who is dependable, proactive, organized, and genuinely cares about the patient experience .
