Job description Branch Office Manager - Hanover Location Dermatology Associates of York
POSITION SUMMARY
Assists Practice Manager and COO with the daily management of the Hanover branch office, including supervision of branch office staff. This is a working management position with varied responsibilities including communicating with staff, other managers/supervisors and providers and handling patient and staff concerns in the Gettysburg office location.
SUMMARY OF ESSENTIAL FUNCTIONS
In coordination with the Practice Manager, recruits, hires, terminates and trains non-clinical personnel as required to assure efficient and effective office work flow in branch office Establishes duties and schedules for front office employees in branch location. Manages time clock and personnel files for front office employees in branch location. Performs employee evaluations of staff who report directly. Counsels employees and conducts correction actions and/or performance improvement plans as needed. Performs regular duties of front office staff on a regular basis. Covers for front office staff absences and vacations. Monitors provider schedules Meets/communicates with COO and Practice Manager, as needed to determine branch office needs. Informs and educates patients and staff on any office policies or communications received from main office and other departments. Minimizes office overhead expenses, including staff expenses by appropriately managing needs/resources of branch office Oversees daily balancing of charges/payments and other end of day procedures Schedules required maintenance for physical branch office location including but not limited to janitorial services, landscaping services, pest control services and snow removal. Acts as liaison between physician/provider and pharmaceutical reps, salesmen, contractors, patients other physicians and branch office tenant(s), etc. Assists the physician(s)/provider(s) in any area necessary to optimize his/her time Handles patient and other office correspondence as needed and in timely manner. Assures good relations with branch office patients and referring physicians Responds timely to all patient complaints Assures adequate consistent policies are in place in conjunction with Practice Manager and
COO. EDUCATION
High school diploma or GED required
EXPERIENCE
Minimum of 3 years' experience in customer service setting Previous supervisory/management experience, preferably within the medical field Medical Software experience
REQUIREMENTS
Excellent customer service skills required to handle patient concerns Ability to deal effectively with staff and patients Ability to multi-task Ability to work with minimal supervision
