Overview The Office Manager is responsible for all documentation and records for projects in accordance with Company policies and procedures. The Office Manager assists with documentation review and upload from the inspection teams and identifies deficiencies or gaps in project records. The Office Manager is also responsible for the day-to-day administrative needs of the project team. Responsibilities Job Duties and Responsibilities Maintain documentation in accordance with engineering standardC 4.0102
Preparation of Completion Package and the Completion Package Guideline Manual (CPGM). Upload project documentation to Project Pulse on a weekly basis at minimum, or as documentation is received. Ensure all documentation is clear and legible before uploading into Pulse. Follow up with inspector or supervisor if documentation is not readable. Verify that applicable construction contract documents and project field record files are properly indexed, secure, and complete. Record files should contain all documentation necessary to and required by the contract, including correspondence, data, reports, forms, and schedules. Verify that the inspection team correctly completes all forms, makes reports daily, and files reports properly, according to the engineering standard C4.0102 and the CPGM. Properly distribute all necessary field documents and reports to the appropriate personnel. Establish vendor contacts and maintain office facility supplies, including equipment, forms, reports, and other items required for staff operations. Prepare and submit contractor pay reports/time sheets in accordance with the contract requirements. Assist with uploading welder certs to Intelex for contract welders. Compile weekly reports as required by Project Manager from Inspection teams reports. Document meeting notes as needed. Upon completion of project work directly with inspection team to close out the remaining documentation for the Completion Package in Project Pulse and follow up with PM for submittal. Order office supplies and materials as needed for inspection teams. Qualifications Required 3-5 years of experience in an office manager role. High School diploma or equivalent. Microsoft Office skills, including Word, Excel, and Outlook. Strong organizational and communication skills. Preferred Associates Degree in a nontechnical or business discipline with at least 4- 7 years practical experience BS / BA in a nontechnical or business discipline and at least 1
- 3 years of practical experience in business, administrative, budgeting, or program planning.
