Job Description

Job Summary We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This pivotal role involves managing front desk responsibilities, coordinating office activities, and supporting team members with administrative tasks. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating an efficient workplace. As the Office Manager, you will be the backbone of our office, fostering a positive atmosphere while handling essential clerical duties with professionalism and enthusiasm. Responsibilities Greet visitors, clients, and staff with a friendly and professional demeanor at the front desk Manage multi-line phone systems, directing calls efficiently and courteously Maintain organized filing systems, data entry, and accurate record keeping using tools like Google Workspace and Microsoft Office Oversee calendar management for meetings, appointments, and office events to ensure optimal scheduling Handle correspondence, proofread documents, and perform clerical tasks such as photocopying and scanning Support bookkeeping activities using QuickBooks or similar accounting software when necessary Coordinate office supplies procurement and inventory management to keep the workspace fully equipped Assist with onboarding new employees and provide ongoing administrative support as needed Experience Proven experience in office management or administrative roles with a strong background in clerical duties and customer service Familiarity with multi-line phone systems, front desk operations, and professional phone etiquette Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and data entry skills Bilingual abilities are highly desirable to support diverse client and staff interactions Experience with bookkeeping software such as QuickBooks is preferred but not required Prior experience in medical or dental reception is a plus, along with personal assistant or executive support background Strong organizational skills with excellent time management abilities to prioritize tasks effectively Join us to be part of a dynamic team where your organizational talents will shine!
