Medical Receptionist — Dependability and Professionalism RequiredJob Overview We are seeking a dependable, punctual, and detail-oriented Medical Receptionist to manage the daily operations of our front desk. This position requires excellent communication, strong organizational skills, sound judgment, and the ability to remain professional in a busy medical office. Reliability is not optional. The front desk is the first point of contact for our patients and plays a major role in the success of the clinic. Employees must arrive on time, be ready to work at the beginning of their scheduled shift, complete assigned duties, and communicate professionally with patients, providers, and coworkers. Frequent lateness, unnecessary absences, excessive personal phone use, workplace drama, negativity, poor communication, and leaving unfinished work for others will not be tolerated. We are looking for a mature professional who understands that their attendance, attitude, accuracy, and performance affect the entire clinic. Responsibilities Arrive on time and be fully prepared to work at the scheduled start time. Greet patients and visitors in a friendly and professional manner. Check patients in and out accurately and efficiently. Schedule appointments, follow-ups, and procedures according to clinic guidelines. Answer and route calls using a multiline telephone system. Maintain professional phone etiquette, even during busy or challenging situations. Verify patient demographics, insurance coverage, and eligibility. Collect copayments, deductibles, outstanding balances, and other patient payments. Accurately document payments and provide receipts. Maintain complete and accurate patient records in the electronic health record system. Scan, upload, file, and route medical documents correctly. Obtain required forms, signatures, identification, and insurance cards. Assist with referrals, prior authorizations, medical-record requests, and patient messages. Review documentation for completeness and identify missing information. Protect patient confidentiality and comply with HIPAA requirements. Keep the reception area clean, organized, and professional. Complete assigned tasks without repeated reminders. Support coworkers and assist with shared office responsibilities as needed. Respectful treatment of every patient, provider, and coworker. Accuracy when handling appointments, records, insurance information, and payments. A strong work ethic and willingness to remain productive. Accountability for assigned responsibilities and mistakes. The ability to accept instructions and constructive feedback. A team-first attitude and willingness to assist coworkers. Initiative and the ability to recognize what needs to be done. Appropriate personal cellphone use that does not interfere with work. The ability to remain calm and courteous when dealing with difficult situations. Strict protection of confidential patient information. Do not apply if you regularly arrive late, frequently call out, dislike being held accountable, refuse to assist coworkers, bring personal drama into the workplace, or expect others to complete your unfinished responsibilities. Qualifications Previous medical receptionist or medical office experience is strongly preferred. Familiarity with electronic health record systems. Knowledge of medical terminology, insurance verification, and billing procedures. Familiarity with Medicare and commercial insurance plans is preferred. Basic knowledge of ICD-10 and CPT coding is beneficial. Strong computer skills, including Microsoft Office. Excellent telephone, written, and verbal communication skills. Ability to multitask in a fast-paced environment without sacrificing accuracy. Strong organizational and time-management skills. Experience collecting and documenting patient payments.
