THE MISSION & MODEL
Xola Behavioral Health & Wellness Center is a high-performance Integrated Medical-Psychiatric Hub in Glendale, Arizona. We bring Psychiatric Care, Primary Family Medicine, and Women's Reproductive Health together under a single roof to serve a diverse community, including Military Personnel, Veterans, First Responders, and Women in the Peri- and Postpartum periods. At Xola, our front desk team does not simply check patients in—you are the essential first touchpoint in a trauma-informed, high-discretion care environment. You set the tone for every patient's recovery journey, ensuring seamless coordination across our primary care providers, psychiatric nurse practitioners, and therapists.
POSITION OVERVIEW
We are seeking a warm, exceptionally organized, and detail-oriented Medical Front Desk Receptionist to serve as the face and voice of Xola. In this role, you will manage patient arrivals, streamline multi-pillar scheduling across in-person and telehealth visits, verify insurance coverage, and maintain our single-chart Electronic Health Record (EHR) workflow. KEY RESPONSIBILITIES
Patient Experience & Trauma-Informed Service Welcoming Environment:
Greet patients, active-duty service members, veterans, and expanding families with a compassionate, professional, and non-judgmental presence.
Streamlined Check-In/Check-Out:
Facilitate swift, high-discretion check-in and check-out processes, ensuring demographic details, medical histories, and consent forms are accurately captured in our unified EHR.
Reception Area Stewardship:
Maintain a immaculate, serene, and secure reception space that reflects Xola's high standard of care.
Administration, Scheduling & Telehealth Coordination Multi-Line Communications:
Answer incoming calls, address patient inquiries, route clinical messages promptly to PMHNPs, FNPs, and WHNPs, and manage urgent requests with composure.
Integrated Scheduling:
Coordinate appointments across multiple clinical specialties (Psychiatry, Therapy, Primary Care, Women's Health) for both in-person clinic visits and 24/7 telehealth workflows.
Appointment Management:
Oversee automated reminder systems, fill schedule gaps, and handle follow-up appointment bookings.
Financial, Insurance & Intake Operations Payment Collection:
Collect copays, coinsurance, deductibles, and outstanding balances at time of service with empathy and clarity.
Insurance Verification & Authorizations:
Verify eligibility across major commercial plans, Medicare, AHCCCS (Arizona Medicaid), and TRICARE, securing prior authorizations when required.
Foundation Intake Support:
Assist in processing intake paperwork for Xola Foundation Stabilization Scholarships for members accessing crisis support.
Daily Reconciliation:
Issue digital receipts and balance daily payment drawers accurately at the close of business.
Compliance & Single-Chart Integrity HIPAA Excellence:
Strictly maintain patient confidentiality and privacy standards required in a high-stakes behavioral and medical health environment.
EHR Record Management:
Ensure intake packets, ID scans, insurance cards, and external medical records are scanned and attached to the patient's unified chart immediately.
CANDIDATE PROFILE
Required Qualifications:
Education:
High school diploma or equivalent required (Associate's or Bachelor's degree preferred).
Experience:
1+ years of medical receptionist, front desk, or patient care coordination experience in a medical, psychiatric, or integrated health clinic setting preferred.
Technical Skills:
Proficiency with Electronic Health Records (EHR/EMR) platforms (e.g., Athenahealth, Epic, eClinicalWorks) and cloud collaboration tools (Google Workspace / Microsoft Office).
Communication & Discretion:
Exceptional verbal and written communication skills with deep empathy and an unwavering commitment to patient privacy.
Healthcare Knowledge:
Solid understanding of medical terminology, copay/deductible structures, and major insurance landscapes (Commercial, AHCCCS, TRICARE, Medicare).
