Office Lead Overview We are actively seeking a highly dedicated, meticulously organized, and compassionate Medical Receptionist to become an integral part of our dynamic healthcare team. This pivotal role serves as the initial point of contact for all patients and visitors, necessitating the provision of exceptional customer service and the cultivation of a welcoming and supportive atmosphere. The ideal candidate will adeptly manage a diverse range of administrative tasks within a fast-paced medical office environment, demonstrating a robust understanding of medical office management principles. A paramount requirement for this position is the unwavering ability to handle sensitive patient information with the utmost discretion and in strict compliance with all HIPAA regulations, ensuring patient privacy and data security.
Core Responsibilities and Duties Patient and Visitor Welcoming:
Greet patients, families, and visitors with a warm, professional, and empathetic demeanor, ensuring a positive and comforting first impression. Guide new patients through initial intake procedures and address any immediate questions or concerns.
Appointment Management:
Efficiently schedule, confirm, and reschedule patient appointments using our electronic medical record (EMR) system (e.g., Epic). Optimize appointment schedules to maximize provider availability and minimize patient wait times, proactively addressing scheduling conflicts.
Patient Record Maintenance:
Meticulously maintain accurate, comprehensive, and up-to-date patient records, including demographic information, medical history, insurance details, and communication logs. Ensure all documentation is complete and easily accessible for healthcare providers.
Check-in and Check-out Procedures:
Streamline patient check-in processes, including verifying appointments, confirming personal and insurance details, and collecting co-pays or outstanding balances. Facilitate efficient patient check-out, scheduling follow-up appointments, providing necessary after-visit summaries, and processing referrals.
Communication Management:
Serve as the primary point of contact for incoming phone calls, responding to inquiries with professionalism and clarity, and directing calls to the appropriate department or individual. Manage incoming and outgoing faxes, emails, and postal mail related to patient care and office operations.
Referral Coordination:
Skillfully process patient referrals to specialists, diagnostic imaging centers, and other healthcare providers, ensuring all necessary documentation is completed and transmitted accurately and promptly. Follow up on the status of referrals to ensure continuity of care.
Insurance and Billing Verification:
Accurately collect and verify patient insurance information, including policy numbers, group numbers, and coverage details. Ensure proper documentation is on file for billing purposes and assist patients with basic insurance inquiries.
Medical Software Utilization:
Demonstrate advanced proficiency in utilizing medical software systems, particularly Epic, for all aspects of patient management, scheduling, billing, and record-keeping. Leverage system functionalities to enhance office efficiency.
Data Entry and Administrative Support:
Perform precise and efficient data entry tasks, including high-volume 10-key typing, for patient records, billing information, and administrative reports. Provide general administrative support to healthcare providers and office staff as needed, including scanning, filing, and organizing documents.
HIPAA Compliance:
Uphold the strictest standards of patient confidentiality and privacy in full adherence to HIPAA regulations. Safeguard all protected health information (PHI) and educate patients on their privacy rights as required.
Required Skills and Qualifications Administrative Excellence:
Demonstrated strong administrative skills with extensive experience in a medical office management setting, showcasing a comprehensive understanding of medical office workflows and procedures.
Medical Software Proficiency:
Advanced proficiency in medical software systems, with a particular emphasis on Epic, including scheduling modules, patient registration, and electronic health records.
HIPAA Expertise:
Thorough knowledge and unwavering commitment to HIPAA regulations to ensure the utmost patient confidentiality and data security.
Exceptional Communication:
Outstanding communication skills, both verbal and written, enabling clear, concise, and empathetic interactions with patients, colleagues, and external partners.
Multitasking and Prioritization:
Proven ability to effectively multitask and prioritize a diverse range of responsibilities in a busy, high-volume environment, maintaining composure and efficiency under pressure.
Detail-Oriented and Organized:
Meticulous attention to detail combined with superior organizational skills to ensure accuracy in record-keeping, scheduling, and administrative tasks.
Medical Records and Terminology:
While not strictly required, experience in managing medical records and a foundational understanding of medical terminology is highly beneficial and will be given preference.
Typing Proficiency:
Proficient 10-key typing skills for rapid and accurate data entry, contributing to efficient patient information management.
