This position serves as the welcoming face of our organization and plays an important role in creating a positive experience for our patients, physicians, and visitors. The ideal candidate is professional, organized, detail-oriented, and comfortable working in a fast-paced healthcare environment. Because this position is responsible for opening the surgery center each morning, reliability, punctuality, and dependability are essential. Key Responsibilities Open the surgery center and prepare the front office for daily operations. Greet and check in patients in a friendly, professional, and efficient manner. Prepare patient consent forms and other required documentation for patients to review and sign. Collect and accurately post over-the-counter patient payments into the EMR system. Answer and route incoming telephone calls professionally and assist callers as appropriate. Scan, upload, and maintain patient and administrative documents within the appropriate systems. Ensure patient documentation is complete, organized, and properly maintained. Assist the Business Office team with administrative duties, telephone calls, patient inquiries, refunds, and other assigned tasks. Assist with surgery scheduling and communicate with physician offices as needed. Communicate effectively and professionally with patients, physicians, physician offices, and staff members. Enter and maintain accurate information within the EMR and other computer systems. Maintain patient confidentiality and comply with all applicable HIPAA requirements. Participate in performance improvement processes and activities, including areas related to safety, security, medical records maintenance, patient satisfaction, documentation, OSHA compliance, HIPAA compliance, and risk management. Maintain an organized, professional, and welcoming front desk environment. Perform other duties as assigned by the supervisor or management. Education, Experience & Eligibility Requirements High school diploma or GED required. College education or additional coursework preferred. Previous front desk, medical office, surgery center, or healthcare experience preferred. Basic knowledge of medical terminology required; ophthalmology experience or knowledge preferred. All employees must be able to provide documentation establishing their identity and authorization to work in the United States in accordance with applicable federal law. Skills, Knowledge & Abilities Strong customer service and interpersonal skills. Professional, friendly, and welcoming demeanor. Bilingual in English and Spanish preferred. Dependable and punctual, with the ability to consistently arrive on time to open the surgery center. Strong organizational skills with excellent attention to detail. Ability to multitask and prioritize responsibilities in a fast-paced environment. Basic computer proficiency and ability to learn and navigate an Electronic Medical Record (EMR) system. Proficiency with data entry and general office computer applications. Strong typing skills and ability to accurately enter patient and administrative information. Ability to communicate clearly and professionally, both verbally and in writing. Ability to interact effectively with patients, physicians, physician offices, and staff members. Ability to maintain confidentiality and handle sensitive patient information appropriately. Ability to work independently while also contributing effectively as part of a team. Ability to follow established policies, procedures, and regulatory requirements. Ability to lift and/or move objects weighing up to 20 pounds. Willingness and ability to perform additional duties as assigned by the supervisor.
