Surgery Scheduler Location:
Santa Rosa, CA Schedule:
(On-Site) Full-time, Monday-Friday, 9:00 AM-6:00
PM Pay:
$24-$28/hour, depending on experience SUMMARY The Medical Receptionist / Surgery Scheduler serves as a primary point of contact for patients, physicians, and staff, providing a professional and welcoming patient experience while coordinating front desk operations and surgical scheduling. This position is responsible for scheduling procedures for multiple providers, coordinating with surgical facilities and clinical teams, maintaining accurate patient information and documentation, and ensuring required pre-operative requirements are completed. The position also provides general administrative and facilities support and assists the clinical team as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES

Patient & Front Desk Responsibilities Greet and assist patients, visitors, and interviewees in a professional and welcoming manner. Check patients in and out, verify demographics, insurance, identification, appointment information, and required forms. Collect copays and other applicable payments. Assist patients with forms, preparation instructions, and general questions regarding services. Schedule follow-up appointments and communicate messages, orders, records, and other information to the appropriate staff. Address and document patient concerns and escalate complaints as appropriate. Maintain patient confidentiality and HIPAA compliance. Maintain a clean, organized, and welcoming reception area and manage visitor sign-in and badges. Surgery Scheduling & Coordination Schedule and coordinate surgeries, procedures, and treatments for multiple providers. Coordinate schedules with physicians, clinical staff, authorization teams, surgical facilities, and outside providers. Maintain accurate provider and surgery schedules and communicate schedule changes. Receive physician orders and gather required documentation for procedures. Coordinate required pre-operative testing, clearances, authorizations, and other scheduling requirements. Enter and maintain accurate patient and surgical information in EPIC. Communicate orders, records, and required documentation to appropriate facilities and providers while maintaining HIPAA compliance. Follow established scheduling processes and checklists to ensure all requirements are completed prior to procedures. Provide patients with appropriate pre-operative and procedure preparation instructions. Administrative & Office Support Perform general administrative duties including filing, data entry, mail, scanning, and package distribution. Monitor and order office supplies and maintain organized supply, kitchen, and break room areas. Coordinate office equipment repairs and facility maintenance with vendors and property management. Assist with petty cash reconciliation and general office operations. Participate in process improvement and special projects as needed. Complete required compliance training and policy acknowledgements.
QUALIFICATIONS & EXPERIENCE
Minimum 1 year of hands-on medical receptionist experience. Minimum 1 year of EPIC experience. 2 years surgery scheduling experience working with multiple providers' schedules. High School Diploma or GED required. Healthcare or surgical practice experience required. Strong knowledge of medical terminology. Excellent communication, customer service, organizational, and problem-solving skills. Compassionate and professional when working with patients, including those experiencing pain. Ability to multitask, prioritize, and work accurately in a fast-paced environment. Ability to work independently and collaboratively with physicians, clinical staff, and administrative teams. Strong attention to detail and ability to maintain confidential patient information. Proficiency with EPIC, Microsoft Office, MS365, OneDrive, Teams, and other computer systems. Ability to adapt to changing priorities and processes in a growing practice. Facilities/vendor coordination or general office administrative experience preferred. Medical or surgical startup experience highly desired. Reliable transportation required.
POSSIBLE REQUIREMENTS
: Clean driving record, DMV check if driving to other sites or on behalf of the company. . Background check 1 year experience in a support position to a facilities manager. 1 year vendor relations experience.
DESIRED SKILLS
Bilingual in Spanish and English. Knowledge of medical terminology.
