Qualifications Background in medical spa, aesthetics, beauty, sales, or patient care preferred Strong interest in aesthetic medicine and anti-aging treatments Excellent communication and interpersonal skills Strong organizational skills and attention to detail Ability to multitask in a fast-paced environment Positive attitude and team-oriented mindset Comfortable using Mac computers, tablets, and digital systems Must be a team player with great personality and people skills Primary Responsibilities For Medical SPA coordinator The primary role of the position is to provide personalized patient care, support the providers and practice by performing clinical duties, and to manage all patient care aspects directed by the physician. He or she must also apply a range of clinical skills and problem-solving techniques to think through and solve issues creatively to improve performance and company efficiency. As the candidate develops into the role, he/she will manage more duties. Job Duties (include but are not limited to): Demonstrate professional phone etiquette and operate a multi-line phone system efficiently. Accurately schedule and confirm appointments, collect patient payments, and maintain detailed records. Maintain strong awareness of provider schedules, treatment timing , and restrictions. Greet patients warmly and assist with the smooth flow of the daily schedule. Process and organize patient paperwork, consent forms, and medical charts. Assist providers in preparing for examinations, procedures, and treatments. Review and prepare patient charts prior to each clinical visit. Participate in the orientation and training of new staff members. Provide patient education and counseling when appropriate. Maintain clean and organized exam rooms, lobby, and office spaces. Capture and manage patient photography for before-and-after documentation. Uphold strict confidentiality standards in compliance with HIPAA and practice policies. Attend required CPR, OSHA, and CLIA training programs. Attend all company meetings and assist with events related to the clinic. Communicate effectively with providers, co-workers, and patients. Function well within a team, demonstrating collaboration, positivity, and flexibility. Maintain a professional and well-groomed appearance at all times. Exhibit ethical behavior, honesty, and integrity in all interactions. Remain calm and professional under pressure; able to handle stress and resolve issues without drama. Demonstrate initiative in patient outreach, assist with promoting treatments, memberships, promotions, and retail products. Follow up with consultation leads, pending treatments, and previous patients to support business growth. Proficient in using MacBook systems for scheduling, documentation, and communication. Communicate professionally with patients through text messaging platforms and digital systems. Assist with social media engagement, including responding to inquiries, comments, and direct messages in alignment with clinic guidelines and brand tone. Ensure devices and clinic equipment are properly maintained and charged. Always maintain positive energy and uplifting "can-do" vibes in all interactions with patients and teammates. Assist in all areas of spa operation as requested by management. Office administration : including but not limited to stocking supplies, filing, organization, turning music on/off, and making sure the surrounding environment of all suites are clean and welcoming.
