We are looking for a highly organized, detail-oriented, and compassionate Preoperative & Surgical Scheduling Coordinator to join our growing team and help deliver an elevated patient experience from the moment surgery is scheduled until the patient arrives safely in the operating room. This role manages every aspect of the patient's preoperative journey. You will ensure all medical, financial, scheduling, and administrative requirements are completed on time while providing warm, professional, and personalized communication. Success means every patient is fully cleared and charts are complete and surgery-ready. Key Responsibilities Surgical Booking & Chart Preparation Receive scheduled cases and create, organize, and maintain complete and accurate patient charts. Review the surgeon's orders and initiate the practice's Preoperative Checklist. Scheduling & Coordination Schedule or assist patients with preoperative appointments when needed. Coordinate laboratory testing, medical clearances, and specialist consultations as needed. Maintain the surgical schedule in collaboration with surgeons and the surgical team. Monitor deadlines to ensure all requirements are completed before surgery. Patient Communication & Follow-Up Serve as the primary point of contact throughout the preoperative process. Provide comprehensive preoperative instructions and answer questions with professionalism and empathy. Track outstanding lab results, clearances, and documentation. Preoperative Visit & Final Clearance Welcome and assist patients during their preoperative appointment. Ensure the patient reviews and signs all required paperwork for surgery. Verify that medical, financial, and administrative requirements are met. Perform chart audits before surgery and confirm the patient is cleared. Surgery Confirmation Contact patients before surgery to confirm arrival time, fasting instructions, medication restrictions, transportation, and address remaining questions. Keep the surgical team informed of any last-minute updates and support efficient patient flow on surgery day. Documentation, Compliance & Improvement Maintain accurate and timely documentation while protecting patient confidentiality (HIPAA). Uphold all practice policies, procedures, and quality standards.
