Second Rule:
within 3 seconds of a patient approaching the front desk, acknowledge them by making eye contact letting them know you are here to help. Consistently follow department guidelines for patient identification in every call or physical contact with a patient; ask for full name and date of birth. Maintain patient's information updated in the EMR system. Always verify demographic information with every patient (address, phone number, emergency contact, etc.) The check-in process includes making sure all medical consents are signed, ID and insurance cards are scanned, legible, and up-to-date, patient demographic information is correct, and eligibility verification is processed and saved in the EMR. Schedule, reschedule, and cancel appointments following company protocol. Keep patient appointments on schedule by notifying provider of patient's arrival, reviewing service delivery compared to schedule, and reminding medical assistants and providers of service delays. Assist with daily patient flow in areas as needed. Provide guidance to restrooms, wellness areas, medical rooms, etc., and assist patients in finding the location, if needed. Always maintain strict patient confidentiality and practice HIPAA Compliance Guidelines and regulations. Protect patients' rights by maintaining confidentiality of medical, personal, and financial information. Do not leave patient's information or documents unattended or unprotected. Check-out process includes explaining physician's notes and orders to patient, scheduling referrals, labs, procedures, and follow-up visits, confirming prescriptions, scanning any paper notes/documents, and following any other instruction specified by the physician. Print future appointment list if requested by patient. Follow established protocol by Transportation Department once patient is ready to go home. Optimize efficiency, patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone following the scheduling protocol. Maintain the reception area with a pleasant environment of music, smell, AC temperature, etc. Comfort patients by anticipating patients' anxieties and answering their questions. Defer questions to your immediate supervisor if you are unable to answer them. Never leave a patient waiting for an answer! Be fully trained and familiar with current and future services offered by the center, making sure you always provide accurate information to our members. Advise current and prospective members about the most suitable services based on their needs. Remind patients about our after-hour service and access to the medical team. Answer phones as needed to respond to inquiries made by patients, vendors, insurance companies and other medical facilities. When applicable, transfer messages to the correct personnel by transferring call and/or sending a message through the EMR. Maintain front desk area clean and organized at all times. Check supply inventory, anticipating needed supplies, and notifying Administration for equipment service and repairs. Adapt teamwork and collaboration principles. Assist other members of the department as needed. Participate in trainings, meetings, and educational programs as required. Perform miscellaneous job-related duties and administrative tasks as needed and assigned.
