Job Description

Overview We are seeking a dedicated and detail-oriented Surgical Coordinator to join our healthcare team. The ideal candidate will play a pivotal role in managing surgical schedules, coordinating patient care, and ensuring compliance with medical regulations. This position requires strong organizational skills, proficiency in medical terminology, and the ability to effectively communicate with patients and healthcare professionals. Responsibilities Coordinate all outpatient surgical procedures. Schedule surgeries with ambulatory surgery centers. Obtain and verify all required insurance authorizations. Coordinate pre-operative testing and medical clearances. Schedule imaging, laboratory work, and specialty consultations. Educate patients regarding surgical preparation and postoperative expectations. Prepare and submit surgical scheduling packets. Verify implant availability and coordinate with medical device representatives. Ensure operative consents and required documentation are completed. Communicate surgical dates and instructions to patients and families. Coordinate postoperative appointments and follow-up care. Track surgery cancellations and reschedules. Maintain physician surgical block schedules. Communicate effectively with anesthesia providers, surgery centers, and hospital staff. Document all patient communications accurately within eClinicalWorks (eCW). Assist with workers' compensation, personal injury, Medicare, and commercial insurance cases. Maintain HIPAA compliance and patient confidentiality. Support physician workflow and other clinical operations as needed. Qualifications Minimum of 2 years of surgical scheduling experience (Orthopedics, Neurosurgery, Spine, Pain Management, or General Surgery preferred). Knowledge of insurance authorization requirements. Experience with Medicare, commercial insurance, workers' compensation, and personal injury cases. Experience using eClinicalWorks (eCW) preferred. Excellent organizational and multitasking abilities. Strong written and verbal communication skills. Ability to prioritize multiple tasks with minimal supervision. High attention to detail. Professional appearance and positive attitude. Strong customer service skills. Ability to maintain strict confidentiality. Proven experience in a medical office setting or clinic environment is preferred. Familiarity with medical coding, billing practices, and insurance processes is essential. Proficient in using EHR systems; experience with Epic, Meditech, Athenahealth, eClinicalWorks is a plus. Strong understanding of medical terminology and health information management practices. Bilingual candidates are encouraged to apply to enhance patient communication. Excellent computer skills including proficiency in Microsoft Office applications. Strong organizational skills with attention to detail in documentation and scheduling tasks. Ability to work effectively in a fast-paced environment while maintaining professionalism at all times.
