Position Overview We're seeking a friendly, organized, and preferred bilingual (English/Vietnamese OR English/Spanish) Front Desk Receptionist to be the welcoming face of our practice. This role is essential to patient experience — you'll be the first person our patients see and speak with, and a key member of a small, close-knit team. Key Responsibilities Greet and check patients in and out in a warm, professional manner Schedule, reschedule, and confirm patient appointments across multiple providers Make appointment reminder calls and follow up on missed appointments Verify patient demographics, insurance information, and update records at every visit Collect copays, deductibles, and outstanding balances at time of service Answer multi-line phones, respond to patient inquiries, and route calls appropriately Manage incoming and outgoing faxes, scan documents into the EHR Assist patients with new patient paperwork and portal registration Coordinate referrals, imaging appointments, and lab orders as directed Maintain a clean, organized, and welcoming front desk and waiting area Protect patient privacy and follow all HIPAA guidelines Support the clinical team with administrative tasks as needed Required Qualifications High school diploma or equivalent 1+ years of front desk, customer service, or administrative experience (medical office preferred) Strong computer skills — comfortable learning new software (EHR, scheduling, email) Excellent verbal and written communication skills in both languages Professional appearance and demeanor Ability to multitask in a fast-paced environment Strong attention to detail and organizational skills Reliable, punctual, and dependable attendance Ability to maintain patient confidentiality and comply with HIPAA regulations Must be able to pass a background check Preferred Qualifications Prior experience in an OBGYN, women's health, or primary care setting Experience with eClinicalWorks (eCW) or similar EHR Knowledge of medical terminology, particularly OBGYN Experience verifying insurance eligibility and benefits Familiarity with commercial insurance Experience collecting copays and processing payments Basic understanding of CPT and ICD-10 coding Customer service or hospitality background Fluent in English AND either Vietnamese or Spanish (verbal and written) Physical Requirements Ability to sit for extended periods at a computer workstation Occasional standing, walking, bending, and lifting up to 25 lbs Manual dexterity for typing, filing, and using office equipment Ability to hear and speak clearly on the phone and in person Schedule Full-time, Monday-Friday [8:00 AM - 5:00 PM] with a one-hour lunch No evenings or major holidays Occasional flexibility required for practice needs Compensation & Benefits Benefits eligibility begins after 90 days for full-time employees: 2 weeks paid time off (PTO) annually 401(k) with 3% employer match Paid holidays Why Join Us Join a brand-new practice at the ground floor with room to grow Small, supportive team with direct access to physician leadership Predictable Monday-Friday schedule with no nights or weekends Make a meaningful impact in women's health in our community Opportunity to help shape workflows and processes How to Apply Please apply through Indeed with your resume and a brief note about why you're interested in joining our practice.
