This is more than a traditional receptionist position. Our Front Desk Coordinator is often the first person our patients speak with and the first person they see when they walk through our doors. Position Details Full-time position 40 hours per week $16.00-$23.00 per hour, depending on experience, qualifications, and responsibilities Current location: Bloomingdale, IL Future permanent location: Buffalo Grove, IL after the 2026 holiday season Paid training provided What You'll Do As our Front Desk Coordinator, you will help keep the clinic organized, welcoming, and running smoothly.
Responsibilities may include:
Greeting and checking patients in and out Creating a welcoming and professional experience for patients and families Answering incoming phone calls and taking accurate messages Scheduling, rescheduling, and confirming appointments Registering new patients Managing provider schedules and appointment availability Responding to patient questions and administrative needs Following up with patients regarding appointments, forms, and documentation Entering and updating information in the electronic medical record (EMR) Scanning, uploading, and organizing medical documents Assisting with medical records requests Communicating with pharmacies, laboratories, specialists, and other healthcare offices Helping manage clinic waitlists Explaining clinic membership programs and basic office policies Assisting the physician and team with day-to-day administrative tasks Helping with clinic events, community outreach, and special projects Identifying ways to improve organization, workflow, and the patient experience Who We're Looking For Our ideal candidate is someone who is: Friendly, warm, and comfortable talking with patients Reliable and punctual Highly organized and detail-oriented Able to multitask and prioritize responsibilities Comfortable working in a fast-paced medical office Professional in person, over the phone, and in written communication Comfortable learning new technology and computer systems Able to handle confidential information appropriately Compassionate and respectful toward people from different backgrounds and life experiences A strong team player who is also able to work independently Proactive and willing to help rather than waiting to be asked Adaptable and comfortable working in a growing medical practice Medical office, front desk, receptionist, scheduling, customer service, or healthcare experience is a plus.
