Job Overview We are seeking a dynamic and detail-oriented Receptionist and Insurance Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional front desk support while efficiently managing insurance processes. Your energetic approach and strong organizational skills will ensure smooth clinic operations, accurate documentation, and seamless communication between patients, providers, and insurance companies. This position offers an exciting opportunity to contribute to a patient-centered environment while utilizing your expertise in medical billing, coding, and electronic health records management. Responsibilities Greet patients and visitors warmly, ensuring a positive first impression while managing check-in and check-out procedures with professionalism. Answer incoming phone calls promptly, directing inquiries appropriately and maintaining excellent phone etiquette. Schedule patient appointments using Dentrix ascend ensuring accurate time slots and provider availability. Verify patient insurance coverage, collect necessary documentation, and coordinate insurance authorizations to facilitate efficient billing processes. Review medical records and documentation for completeness, accuracy, and compliance with clinical confidentiality policies. Manage electronic health records (EHR systems) including Dentrix Ascend ensuring proper documentation review and data entry. Assist with medical billing tasks such as claim submission, follow-up on unpaid claims, and resolving billing discrepancies with insurance providers like Medicare or private insurers. Maintain thorough knowledge of health insurance policies, HIPAA regulations, and medical terminology to support accurate documentation review and patient service delivery. Perform clerical duties including data entry, typing (including 10-key), filing medical records, and maintaining organized office files. Support clinic operations by providing administrative assistance such as preparing care plans or reports as needed. Experience Prior experience working in a medical office environment with a focus on front desk responsibilities is highly preferred. Open to training candidates with no prior experience. Bilingual skills are a plus to serve diverse patient populations effectively. Proven ability to handle sensitive information in accordance with HIPAA guidelines while maintaining clinical confidentiality policies. Excellent customer service skills combined with professional phone etiquette and effective communication abilities. Proficiency in Microsoft Office applications for documentation and administrative support tasks.
