Job Description

Job Overview Total Family Healthcare is seeking a compassionate, detail-oriented Medical Receptionist (Checkout Coordinator) to join our team. This position serves as the primary point of contact between patients and providers after the patient visit. The Checkout Coordinator plays a critical role in coordinating follow-up care, communicating provider recommendations, processing referrals and diagnostic orders, scheduling appointments, collecting patient payments, and ensuring continuity of care. The ideal candidate is highly organized, communicates effectively, and thrives in a fast-paced healthcare environment. Key Responsibilities Serve as the primary liaison between patients, providers, and clinical staff to coordinate patient care. Review provider checkout instructions and ensure all orders are completed accurately. Schedule follow-up appointments, annual wellness visits, specialist consultations, and diagnostic testing. Process referrals, prior authorizations, and coordinate appointments with outside specialists and healthcare facilities. Process laboratory, imaging, and ancillary service orders as directed by providers. Communicate provider instructions, recommendations, and normal test results to patients in accordance with office protocols. Answer patient phone calls and portal messages related to provider instructions, referrals, orders, appointments, and test results. Collect copayments, outstanding balances, and process patient payments accurately. Verify that all necessary documentation is complete before patient departure. Monitor referral and diagnostic order work queues to ensure timely completion and follow-up. Coordinate with providers, medical assistants, nurses, hospitals, imaging centers, specialists, and laboratories to facilitate patient care. Document all patient communications accurately within the electronic health record (EHR). Maintain patient confidentiality and comply with HIPAA regulations. Assist with general reception responsibilities, including answering phones, responding to patient inquiries, managing correspondence, and providing administrative support as needed. Perform additional duties assigned to support efficient office operations. Qualifications High school diploma or GED required. Previous experience in a medical office or healthcare setting preferred. Experience processing referrals, medical orders, and insurance authorizations is strongly preferred. Familiarity with Electronic Health Records (EHR) systems. Knowledge of medical terminology and insurance processes. Excellent communication and customer service skills. Strong organizational skills with the ability to prioritize multiple tasks. Attention to detail and ability to work efficiently in a fast-paced environment. Proficient with Microsoft Office and general computer applications. Pay:
$16.50 - $17.50 per hour
