In this vital role, you will be the friendly first point of contact for patients and visitors, ensuring a smooth and welcoming experience from the moment they walk through our doors. Your expertise in administrative support, appointment scheduling, insurance verification, and patient communication will help us deliver exceptional dental care. Duties Greet patients warmly and professionally, creating a positive first impression and ensuring a welcoming environment. Manage patient check-in and check-out processes with accuracy, including updating personal information and verifying insurance details. Schedule appointments efficiently using dental and medical practice management software such as Dentrix an Athena coordinating with clinical staff to optimize daily workflows. Verify insurance coverage, benefits, and eligibility using Dental Portal systems and Athena health, ensuring accurate billing and coding. Process dental collections and billing procedures in compliance with HIPAA regulations, maintaining confidentiality of patient records. Review documentation for completeness and accuracy, including intake forms, treatment plans, and medical records in EMR (Electronic Medical Records) systems such Athena Health an Dentrix platforms. Handle multi-line phone systems with professionalism, practicing excellent phone etiquette while managing appointment requests and patient inquiries. Assist with dental coding tasks including CDT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding to support billing accuracy. Conduct insurance verification procedures to confirm coverage details for Medicare or other providers. Maintain organized filing systems for patient records, medical documentation, and office supplies to ensure smooth clinic operations. Support front desk operations by managing office supplies inventory, processing payments via 10-key typing skills, and performing clerical duties such as data entry and filing. Uphold HIPAA standards at all times by safeguarding patient information during all administrative activities. Collaborate with clinical staff to facilitate care plans and ensure seamless communication between patients and providers. Experience One Year experience as a Dental Receptionist within a healthcare or dental clinic setting is highly required. Demonstrated proficiency with EMR/EHR systems such as Dentrix, Athena health is essential. Strong knowledge of dental terminology, medical terminology, CPT coding, ICD-9/10 coding, and medical billing practices is required to ensure accurate documentation and reimbursement processes. Familiarity with health information management standards including HIPAA compliance is necessary for maintaining confidentiality. Prior experience with insurance verification procedures for Medicare or private insurers will be advantageous. Excellent computer skills across Microsoft Office applications (Word, Excel) along with familiarity with multi-line phone systems are expected. Bilingual abilities are a plus to effectively serve diverse patient populations. Clinic experience in a fast-paced environment that involves handling medical records, scheduling appointments, and managing front desk operations is highly desirable. Strong customer service skills combined with professional phone etiquette will help foster positive patient relationships. Ability to work efficiently under pressure while maintaining attention to detail in documentation review and administrative tasks is crucial for success in this role.
