Job Description
Job Summary The Medical Front Desk Receptionist position or Patient Care Expert, as we prefer to call it, is the first line of contact for a patient in this medical office. The position is key to the beginning of the patient relationship with this practice and the patient journey. This position serves as the liaison between the physicians, the supporting staff, and the patients. A candidate for this position would possess a personality that loves collaborating with people and would have a warm, friendly, caring disposition. In addition to general office skills, a candidate will need to be familiar and comfortable with computers, a quick study, detailed and have excellent phone skills. Essential Duties & Responsibilities
Patient Care:
Greets and directs patients, sales representatives, and visitors warmly and professionally with care.Telephone Etiquette:
Provides friendly, caring, and professional telephone etiquette with minimal hold times; transferring calls quickly and appropriately.Electronic Medical Records:
Maintain accurate, thorough, and timely electronic medical records by gathering and uploading file information. Collects payments from patients. Prepares patient forms each day, explains practice policies and scans and records patient data with accuracy. Review that all consent forms, health histories, medications, and previous treatments are in the patient's medical file.Compliance & Safety:
Maintain strict patient confidentiality and Protected Health Information (PHI) under HIPAA guidelines. Protect the practice, patients and providers as outlined in the Safety and Health Policy and HIPAA guidelines.Documentation:
Maintains correct information from patients, providers, doctors, hospitals, labs, and vendors.Time Management:
Must be able to open office at 8:00 am and close at 5:00 pm. Must reliably arrive on time for scheduled hours of work each day.Education & Sales:
Educate patients on general skincare questions, products and treatments options and provide general answers to pre- and post-care questions and participate in sales and promotions.Schedule Growth:
Actively contribute to filling the appointment schedule through contacting inquiries, scheduling new patient appointments, confirming, and rebooking for patient retention. Explain applicable general practice policies.Sanitation:
Maintains a clean workstation, keeps public areas well stocked, clean, and tidy and participates with laundry duties.Collaboration:
Willing to help colleagues to benefit each other and the patient's experience. Participate in staff and marketing meetings; attend educational workshops as needed. Professional Qualifications & Core CompetenciesExperience:
Minimum 2 years of front desk experience in a high-volume office.Workplace Conduct:
Maintain a professional, polished demeanor. Demonstrate a cheerful outlook, objective problem-solving skills, and a strong commitment to a harmonious, supportive workplace culture.Communication:
Excellent active listening, verbal communication, and customer service skills. Able to collaborate effectively with diverse personalities.Professional Growth:
Able to take directions, accept constructive coaching for growth, and actively participate in professional workshops.Technical Skills:
Basic computer and keyboarding proficiency (MS Outlook). Experience with Electronic Medical Records software (PatientNow and RxPhoto) preferred. Basic knowledge of medical terminology preferred. Education & Certifications- High School Diploma or equivalent (Required); College degree or college coursework preferred.
- Basic Life Support (BLS) certification preferred or current CPR certification
