The first interaction a client has with our practice often shapes their entire experience, and we are looking for someone who takes pride in making every interaction welcoming, respectful, and professional. As a Client Care Coordinator, you will be an essential part of our daily operations. You will be the first point of contact for clients, helping create a positive experience while supporting our clinicians and administrative team. This role requires someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in keeping things organized and running smoothly. Compensation:
$20 hourly
Responsibilities:
Serve as the first point of contact by greeting clients warmly, answering a high volume of phone calls, and providing accurate, timely information. Schedule, confirm, and reschedule client appointments while clearly communicating TheraCorp's policies, procedures, and payment responsibilities. Maintain accurate client records, process payments, and complete daily administrative tasks with a high level of accuracy. Maintain and update internal tracking systems to support organization, accountability, and efficient daily operations. Collaborate closely with clinicians and administrative team members to coordinate schedules and support seamless daily operations. Identify scheduling or administrative issues and communicate them promptly to ensure appropriate follow-through and resolution. Maintain a clean, organized, and welcoming reception area that reflects TheraCorp's commitment to providing an exceptional client experience. Protect client confidentiality and follow all applicable privacy procedures. Model and uphold TheraCorp's core values in every interaction with clients, colleagues, and partners.
Qualifications:
Two years of administrative, front desk, medical office, or customer service experience preferred. Experience in a mental health or healthcare setting is a plus, but not required Strong organizational skills, attention to detail, and the ability to multitask, prioritize, and follow through. Ability to work independently and under pressure while managing responsibilities. Strong computer skills and ability to learn new software systems. Excellent communication and interpersonal skills.
